The Property Management Accountant and Administrative Coordinator will manage all accounting functions related to bill payments, rent collections, and financial reporting for a property management firm
This role also encompasses administrative duties, including mail distribution, payroll, employee record keeping, and office management
Additionally, the coordinator will assist with marketing activities for art shows, tenant communication, and customer service
Bill Payments Management: Process and manage all bill payments, ensuring timely and accurate disbursements
Monthly Rental Owner Reports: Prepare and distribute monthly rental owner reports detailing financial performance and occupancy status
Past Due Rent Collection: Track and manage the collection of past due rents, including communicating with tenants and implementing collection strategies
Rent Collections: Oversee the collection of rents, ensuring all payments are received and recorded accurately
Annual CAM Reconciliations: Conduct annual Common Area Maintenance (CAM) reconciliations and communicate findings with tenants and owners
Bookkeeping & Bank Reconciliation: Maintain accurate bookkeeping records and perform regular bank reconciliations
Buildium Property Management Software: Daily entries and updates in Buildium software to ensure data accuracy and integrity
Receiving and Distribution of Mail: Manage the receiving and distributing incoming mail and packages
Payroll & Employee Record Keeping: Process payroll and maintain accurate employee records, ensuring compliance with relevant laws and regulations
Training & Onboarding: Coordinate and manage the training and onboarding process for new employees and temporary agency staff
Office Management: Oversee office management tasks, including supplies procurement, facility maintenance, and general office organization
Marketing for Art Shows and Sales: Assist in the planning and executing marketing strategies for art shows and sales events
Tenant and Outside Vendor Marketing: Develop and implement marketing initiatives to promote tenant businesses and attract outside vendors
Tenant Communication: Serve as a point of contact for tenants, addressing inquiries and facilitating communication between tenants and management
Customer Service: Provide exceptional customer service to tenants, vendors, and visitors
