Accounts Payable/Payroll Clerk FLSA STATUS:
Nonexempt / Hourly (30-35 hours per week) REPORTS TO:
Controller
Summary:
Maintains records of accounts payable; reconciles accounts payable with invoices; issues payments on accounts; processes payroll and employee benefits; maintains office supplies.
ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following:
Job Tasks Review vendor invoices and supporting documents to ensure that the expenses are valid and comply with the Club's purchasing policy Obtain manager approvals, apply account coding and post invoices into the accounts payable system Print and obtain signatures on all accounts payable checks Process payments to reciprocal clubs and bill members for respective charges Obtain W-+ forms on vendors, as required, and maintain file Obtain certificate of insurance from vendors where necessary Compile and maintain credit applications for vendors Prepare 10++-Miscellaneous Income reports and mail to vendors annually Audits prices and compiles inventories Assists the Controller in preparing month-end financial statements Maintain Human Resources files for all employees, including approved compensation, employment letters, performance reviews and termination letters Administer new employee on-boarding process including processing background checks Add, delete and change employee records for payroll purposes; obtain and file all legally required documentation for employee payroll, including W-2, W-4 and I-+ forms Manage bi-weekly payroll processing, including application of work rules and obtaining manager approvals Enter payroll information into third party payroll provider system, review balancing reports, and process for payment Process journal entries for all payroll-related transactions Resolve payroll discrepancies as identified by employees or managers Maintains all payroll records and provides payroll reports as needed for managers Assist in administrating employee participation in the Club's 401(k) plan Maintain files and administers all employee benefits including medical, dental, vison, life, and disability insurance in conjunction with third party benefits provider Process worker's compensation claims and maintain files Maintain employee handbook Monitor and maintain and general office supplies; maintain office supply closet Order replacement supplies as requested by managers or to minimum supply levels Coordinate off-site document retention storage Perform other duties as assigned SUPERVISORY
Responsibilities:
This position does not include any supervisory responsibilities.
QUALIFICATIONS REQUIRED:
Education, experience, and skills 2-4 Yr Accounting/Business Degree preferred; Accounts Payable and Payroll experience Strong computer skills including Microsoft Office with emphasis in Excel Excellent oral and written communication skills Proven analytical and problem solving abilities Organized and detail oriented This is a general job description and may be amended by the General Manager, the Controller, or the Board of Directors at any time.
