Key Responsibilities
Vendor creation, procurement, end to end coordination for Pan India offices, multiple entities
Accounting experience with exposure to for provision / budget vs actual and MIS / GST exposure
Coordination with internal stakeholders for New Vendor creation / PO Tracker Updating
Keeping track of vendor costs and payments for Pan India locations and ensuring payments within stipulated timelines
Office Supplies and Services- verify supplies upon receipt, confirm purchase orders and ensure remote colleagues are equipped as needed with approval from local management/HR
Vendor agreements –coordinating with internal and external stakeholders, procurement and legal teams for timely renewal and AMC agreements, as per timelines and as per process
Coordination with team for physical count & labelling of assets at multiple locations
Bills are vetted and approved before payment and irregularities and discrepancies are highlighted and rectified, process tweaked as and when required
Admin updates / surveys – to be conducted as and when required
Work closely on special requirements, guidance to support overall office needs
Support senior leaders as and when required
Co-ordinating with vendors for Offsite Events
Coordinating and arranging long stay for relocating Employees as per process
Reconciling and processing travel related Invoices and raising a red flag in case of discrepancies
Arranging letters for inbound and outbound colleagues
All admin related jobs and requirements at all offices
Mobility and moving to other sites as and when required
We are looking for
Bachelor’s degree in any stream; business administration preferred
5+ years of experience as an administrative assistant
Technical Skills and Competencies Required
Good problem-solving skills with the ability to seek alternative solutions, quick reactive.
Communication— Excellent spelling/grammar, good customer service skills, tactful and discrete in interactions, creative thinking.
Organizational and time management skills, multi-tasking and prioritizing, planning work activities efficiently to meet deadlines and high- level goals
Team player with proven ability to work under pressure
Strong attention to detail with excellent follow-up.
Adaptability to changes in the work environment - manages competing demands and able to deal with frequent change, delays or unexpected events
Excellent working knowledge of Microsoft office Products - especially Outlook, Word, Excel
