Overview
We are currently seeking an Administrative Assistant to join our growing team. If you’re someone who is accountable, reliable, detail-oriented, and talented, then we have an opportunity for you.
As an Administrative Assistant, you work a wide range of tasks to support your colleagues and the growth of the business in various areas ranging from marketing, finance, and sales to ensure seamless operations. Your experience and skills will allow you to serve as a liaison between departments, teams, and stakeholders ensuring seamless communication and collaboration, and maintain internal controls, financial records, and other specialized documentation.
This is a permanent, full-time position.
Responsibilities
Provide comprehensive administrative and clerical duties to support management and staff
Perform accounting clerk duties including but not limited to A/R, A/P, billing and invoicing, expense tracking, processing billing credits and corrections, and other various month-end accounting reconciliation duties
Communicate regularly with the company’s accountant to ensure all records and filings are current and accurate
Work with colleagues and external parties to design and develop marketing materials
Plan and attend trade shows as required
Maintain paper and electronic filing systems, including filing of confidential information
Responsible for dissemination of highly confidential correspondence and communications
Collaborate with team members to streamline office processes and improve efficiency
Perform cross functional and other duties as assigned and/or requested
Skills and Requirements
High school diploma or equivalent
Excellent English communication skills, both verbal and written
Working knowledge of Microsoft applications (Excel, Word, Outlook, PowerPoint)
Comfortable making and receiving phone calls
Strong typing and data entry skills
Ability to deal effectively, efficiently, and courteously with colleagues, customers and general public
Ability to succeed in a rapidly changing environment where tasks, priorities and goals are ever-changing
Exceptional organizational skills, attention to detail, and the ability to multi-task
Ability to work independently with minimum supervision as well as part of a team in a fast-paced environment.
Good to have:
Second language
Photo editing and graphic design skills
QuickBooks Online experience
