Job Summary:
We are seeking a detail-oriented and organized Administrative Assistant to join our accounting firm. The ideal candidate will provide essential support to our team by managing daily office tasks, assisting with client communications, and ensuring the smooth operation of administrative processes. This role requires a proactive individual with excellent multitasking abilities, strong communication skills, and a commitment to maintaining confidentiality.
Key Responsibilities:
• Administrative Support: Perform general office duties, including answering phones, managing emails, scheduling appointments, and handling correspondence.
• Client Interaction: Assist with client communications, including scheduling meetings, managing inquiries, and ensuring a positive client experience.
• Document Management: Prepare, format, and edit documents, reports, and presentations. Maintain organized filing systems for both physical and electronic records.
• Data Entry: Enter and update client information in accounting software, maintain accurate records, and assist with daily tasks.
• Financial Administration: Assist in processing invoices, tracking expenses, following up on receivables, and supporting other administrative functions. Prepare and manage accounts payable and receivable documentation.
• Office Coordination: Manage office supplies, coordinate maintenance services, and ensure the office environment is organized and efficient.
• Confidentiality: Handle sensitive information with the highest level of confidentiality and professionalism.
• Team Collaboration: Work closely with accountants and other staff to support the firm’s operations and contribute to a positive team environment.
Qualifications:
• Education: High school diploma or equivalent required; associate's or bachelor’s degree in business administration or a related field preferred.
• Experience: Minimum of 3 years of administrative experience, preferably in an accounting or financial services environment.
• Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with accounting software and firm management software (e.g., iFirm, Profile, CaseWare, Jazzit ) is a plus.
• Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with clients and team members.
• Organizational Skills: Strong attention to detail, ability to prioritize tasks, and manage time effectively.
