The Bookkeeper & Administration Assistant will support and report directly to the CEO, managing various financial and administrative tasks to ensure the smooth operation of Water Polo Queensland. 3-4 days per week - flexible. Ability to work school hours.



Key Responsibilities



Core Duties:



Data Entry: Recording financial transactions into Xero.

Xero Reconciliation: Cross-referencing against bank statements and other source documents to confirm accuracy.

Weekly Reports: Summarising the business’s financial position.

Additional Duties:



Accounts Receivable: Creating and sending invoices, and providing weekly updates to CEO.

Accounts Payable: Ensuring invoices from suppliers are accurate and paid in a timely manner.

Payroll: Calculating pay and deductions, filing reports, and updating CEO.

Advanced Duties:



End of Year Reporting: Assisting with annual profit and loss and balance sheet reports in preparation for audit.

Business Strategy: Assisting CEO with formattting budget and forecast documents.

CEO's Assistant: Providing administration assistance to CEO.

Liaison: Meeting with stakeholders, recording meeting minutes, developing organisational documents, working closely with the CEO.

Requirements:



Proficiency in MS-Office and XERO bookkeeping.

Working with Children certification.

Strong computer literacy.

Problem-solving skills.

Self-discipline and the ability to work independently.

Ability to act as a gatekeeper for the CEO.

Performance Expectations:



Maintain accurate and up-to-date financial records.

Ensure timely completion of all financial tasks.

Provide insightful financial reports and advice.

Support the CEO with administrative tasks efficiently.
