About The Role

We support FTI Consulting's daily activities at the most essential levels. The aim is to provide administrative support to the Perth office and act as an administrative resource to the Executive Assistants.

What You'll Do

The Administrative Assistant role is an integral part of the office. In this role, you will be the go-to person for general office and administration queries, like:

Support multiple Managing Directors with their expenses, travel and general administration
Provide administration support to all office staff as needed, including taking notes in meetings as needed
Work with other members of the administrative team to improve administrative processes and effectiveness
Conduct company searches and conflict checks
Assist with banking by depositing cheques
Conduct and manage filing, storage and archiving (manual, electronic and offsite)
Word processing, preparing reports and presentations
Coordinate employees' first and last-day requirements across the Perth office
Maintain telephone and internal staff lists Conduct printing, scanning and photocopying as requested
Update client database
Process accounts payable invoices
Work with IT on all equipment and troubleshooting queries
Taking phone calls and distributing messages
Mail, deliveries and arranging couriers
Manage meeting room bookings and setup
Greet and welcome FTI visitors and clients to the office
Act as a fire warden
Assist with ad hoc administrative duties as needed

Office Maintenance Responsibilities

Assist with building management work requests
Maintain stationery stock and refresh as needed
Manage catering and kitchen stock and refresh as needed
Maintain a clean and tidy office and kitchen at all times (empty dishwasher, restock fridge and restock and clean coffee machine)

Office Culture

Organise in-office social activities such as morning teas, staff birthday festivities, employee milestones, etc.
Assist with organising social events (e.g. Corporate Social Responsibility "CSR" events, Christmas Party, etc.)

Qualifications & Experience

1-2 years' experience in a corporate administrative role (financial/professional services preferred)
Completed Year 12/ HSC or equivalent
Highly computer literate, including strong knowledge of MS Office suite (Outlook, Word, Excel, PowerPoint)
Strong organisational and time management skills, with the ability to prioritise tasks and meet deadlines
Reporting & administrative writing skills
Strong problem-solving skills and the ability to work on initiative
A "can do" and enthusiastic attitude
Attention to detail
Professional manner and excellent telephone skills
This role will require travel to client and FTI offices
