Job Profile

The Administrative Assistant / Receptionist has a positive attitude and is detail-oriented and goal driven, always striving to provide high quality work. This ideal candidate will be able to work efficiently in a fast-paced environment and will provide exceptional customer service while managing a variety of administrative tasks that support the daily operations of the business. They will often serve as the first point of contact for our customers, therefor has a warm and friendly personality, enjoys interacting with people, and appreciates being part of a team. Clear and well-mannered communication skills are mandatory in this role.

Key Responsibilities

Customer Interaction

Greet and assist customers upon arrival, providing a welcoming and professional atmosphere
Ask questions to ensure the customer is directed to the right area
Answer and direct incoming phone calls, text messages, and emails, take messages, and respond to inquiries in a timely and courteous manner
Sales Department Support

Support Sales Team with clerical tasks, including entering major unit invoices, requesting customer signatures, finalized deal scanning, and other customer correspondence
Prepare signage as required by the Sales Manager
Interact with customers when they are waiting to improve the overall customer experience
Keep ordered inventory ETA’s up to date for Sales Team
Process customer deposits and payments, ensuring accurate data entry
Administrative Support

Perform daily cashouts and bank runs
Collect mail from the post-office and organize and distribute
Manage supplies orders and maintain storage room organization
Maintain and organize office files, documents, and inventory records, including managing service scheduling for records destruction
Support HR, Payroll, Accounting, and Management with administrative functions including data entry, filing, scanning, scheduling meetings, and maintaining calendars
Create professional document templates based on content provided including policies, manuals, letters, etc.
Other tasks as required

Be accountable and strive to lead by example, regardless of employment capacity or role
Remain informed on and follow all applicable company policies
Work Schedule

Store hours are 8:30am to 6:00pm Monday to Friday and +:00am to 2:00pm Saturdays
We are closed all long weekends
2 weeks annual vacation entitlement
Must display reliable attendance and schedule time-off with advance notice
Educational and experience requirements include:

2+ years of experience in an administrative support role
Certificate or diploma in office administration preferred
Excellent working knowledge of Microsoft Word and Adobe
Proficient in other Microsoft Office software
Strong interpersonal skills and telephone etiquette
Strong verbal and written communication skills
Detail-oriented with a high level of accuracy in work performance
Excellent organizational and multitasking abilities
Demonstrated ability to take direction from superiors and follow written and verbal instruction
Proven ability to maintain high productivity and organization to consistently meet deadlines
Basic math and problem-solving skills
Reliable, punctual and a self-starter with strong work ethic
High level of ownership, accountability, and initiative
Ability to maintain professionalism and confidentiality
Positive attitude and a team-oriented approach

Job Type: Full-time

Pay: $20.00-$24.00 per hour

Expected hours: 40 per week
