About the role | He kōrero whakamārama mō tēnei tūranga

As the Receptionist/Administrator, you play a crucial role in providing essential administrative support and managing reception duties for our business. Collaborating closely with the broader Service Delivery Team, your mission is to ensure that our customers and stakeholders receive high-quality, timely, and customer-centric service.

To excel in this role, you'll need a clear understanding of our diverse range of customers, including people we support, family/whanau, Support Workers, Funders and other internal and external stakeholders.

Additionally, you'll navigate the landscape of other customers in the sector, such as suppliers, service delivery partners, Iwi, Government, and non-Government organisations.

Ours of work are Monday to Friday, between 8:30 am to 5:00 pm, based at our Penrose office. We are open to be flexible to accommodate around school hours. Please note that due to the nature of this position, this is an office-based role.

Responsibilities:

Welcoming Office Visitors: You'll be the friendly face that greets office visitors, ensuring they feel welcome and comfortable.
Safety Compliance: Diligently follow health and safety processes within the office environment.
Invoice Handling: Enter and code creditors' invoices, ensuring timely processing.
Company Fleet Support: Assist with company fleet-related tasks, including driving of company vehicles.
Administrative Functions:
Coordinate requests related to travel, accommodation, conferences, and training attendance.
Manage orders for stationery, general supplies, and printing materials.
Prepare meeting rooms or book appropriate venues, including catering arrangements if needed.

Experience in a support, administration or data-entry support role preferably within the health/disability or community services sectors.
Client Management Systems Proficiency: Experience with client management systems, CRM, and ERP systems.
Collaborative Growth: A passion for collaborative work and a commitment to developing both personal and team skills.
Interpersonal and Communication Expertise: Excellent interpersonal, communication, and influencing skills, along with highly developed emotional intelligence.
Cultural Understanding: An understanding of the Treaty of Waitangi principles and their application.
Problem-Solving Resilience: A love of problem-solving and resilience in handling unexpected or difficult situations.
Organisational and Self-Management Skills: Excellent planning and organisational skills, with the ability to work autonomously.
Driving Licence: A restricted or full, clean New Zealand driver's licence.
