Primary objective

The Board Administrator provides advice, secretariat support and co-ordination to support the administration of various boards and

committees associated with the division and provides guidance and build capacity for members, joint management partners and Aboriginal

stakeholders, as well as admin support and advice for the regional Director and broader team.

Context Statement

This position is based at Palmerston and supports the Northern Australian Parks region.

Key duties and responsibilities

1. Provide efficient and professional administrative support and secretariat services to statutory and non-statutory boards and

committees, advisory panels and related working groups in accordance with legislative and governance framework.

2. Support boards and committees by provision of services including advice and assistance in relation to duties and responsibilities

including maintaining accurate records and key information including membership details, responsible for taking accurate minutes of

meetings, financial records, payments, terms of reference and provide reports on request.

3. Arrange the payment of invoices, verify corporate credit card transactions, and assist in training of administrative and operational

staff in processes.

4. Assist with the preparation of various documents including Ministerial correspondence and reporting and consult relevant staff to

assist the Department to address actions that arise from board / committee meetings.

5. Operate within a strong safety culture and implement defined Workplace Health and Safety policies and procedures while delivering

Departmental services.

Selection criteria

Essential

1. Demonstrated knowledge and experience in high-level administrative office-based procedures, processes and functions including

diary management, travel and accommodation bookings, finance and accounts payment processes, records/ information management

(e.g. maintaining filing systems).

2. Highly developed written and oral communication skills with a high degree of accuracy and attention to detail, demonstrated

experience in preparing complex correspondence and papers.

3. In depth knowledge of office procedures and practices, including experience using file and record management systems.

4. Demonstrated interpersonal skills of high order, including an understanding of the aspirations of Aboriginal partners and Traditional

Owners in relation to their contribution to management of their land and sea and how it relates to parks and reserves.

5. Demonstrated sound judgement and analytical skills, including the ability to apply initiative, prioritise and manage workloads in an

environment subject to pressure and deadlines.

6. Ability to interact effectively with people from diverse cultures, particularly Aboriginal people and the ability to undertake remote

travel, including overnight camping.

Desirable

1. Ability to quickly acquire knowledge of the Department’s structure, functions and corporate objectives, the structure of the NT

Public Sector, key stakeholders and the role of the Department.

Further information

Administration officers may be required to drive corporate vehicles, including manual vehicles; and travel to remote parks and reserves,

including on occasion, overnight.
