SCOPE
Reporting to the Manager, Student Academic Services (SAS), the incumbent coordinates all graduate-related activities, undergraduate transfer credits, and resolves graduation related matters, in the Gina Cody School of Engineering and Computer Science (GCS).

PRIMARY RESPONSIBILITIES
Oversee the coordination of graduate activities with the individual departments and Office of the Registrar, including resolving issues related to graduation in accordance with the School and University policies and procedures.
Coordinate and process all graduate grade changes and non-course activity reports, which include theses, comprehensive exams and proposals for the Office of Registrar and maintain an internal accurate record of those changes at SAS.
Coordinate the authentication and finalization of the original documents of graduate students accepted to the Gina Cody School of Engineering and Computer Science.
Assist the admission advisors with application cancellations and deferrals on the Student Information System
Coordinate PhD defenses within the GCS and SGS.
Coordinate with the departments and the Exams Office to prepare the graduate exam schedule.
Verify and authorize documents for graduate independent students and forward them to the Office of the Registrar.
Coordinate the processing of transfer credits requests between SAS, the departments and code decisions.
Coordinate the resolution of graduation related matters with the departments and the Office of Registrar
Perform other duties as assigned by the Manager, Student Academic Services.
QUALIFICATIONS
Diploma of Collegial Studies (three-year technical program) and two to four years of related experience in an education environment.
Good knowledge (Level 4) of spoken and written English; basic knowledge (Level 3) of spoken French in order to communicate with internal and external bodies.
Good knowledge (Intermediate Level) of Word (to format letters, lists and do mail merges) and of Excel (to create tables), basic knowledge of Access.
Knowledge of the Student Information System (SIS) and related coding is an asset.
Knowledge of curriculum, policies and procedures at the Gina Cody School of Engineering and Computer Science is an asset.
Ability to work under pressure and meet strict deadlines, ability to multi-task and work on a variety of projects concurrently.
Sensitivity to student concerns.
Strong communication and negotiating skills with the ability to work independently and in a service-oriented team.
Excellent interpersonal skills, with the ability to deal effectively with faculty, students and the general public.
