Job Description:

We are seeking a proactive and organized Corporate Event Coordinator to join our team. The ideal candidate will have 6 months to 1 year of experience in event planning, with a focus on vendor management, material sourcing, and on-ground event management. This role involves coordinating all aspects of corporate events to ensure a seamless and successful experience for all participants.

Key Responsibilities:

1. *Event Planning and Coordination:*

- Assist in planning and executing corporate events such as conferences, seminars, meetings, and networking events.

- Develop event concepts and objectives in collaboration with key stakeholders.

- Create and maintain detailed event plans and timelines.

2. *Vendor Management:*

- Identify, negotiate with, and manage relationships with vendors, including venues, caterers, AV providers, and other suppliers.

- Ensure all vendors meet the company’s standards and deliver services as agreed.

- Monitor vendor performance and resolve any issues that arise.

3. *Material Sourcing:*

- Source and procure event materials such as decorations, promotional items, and printed materials.

- Ensure timely delivery and quality of all sourced materials.

4. *Logistics Coordination:*

- Arrange for all event logistics, including transportation and accommodation for attendees if necessary.

- Coordinate event registration and attendee management.

- Oversee the production of event materials such as agendas, signage, and promotional items.

5. *On-Ground Event Management:*

- Serve as the main point of contact during events, addressing any issues or concerns that arise.

- Ensure the smooth operation of events, from setup to breakdown.

- Manage event staff and volunteers on-site.

6. *Post-Event Evaluation:*

- Collect and analyze feedback from attendees and stakeholders to assess event success.

- Prepare post-event reports and recommendations for future improvements.

- Manage event-related administrative tasks such as invoicing and budget reconciliation.

Requirements:

- 6 months to 1 year of experience in event planning or a related field.

- Excellent organizational and multitasking skills.

- Strong communication and negotiation abilities.

- Proficiency in MS Office (Word, Excel, Outlook).

- Ability to work under pressure and meet tight deadlines.

- Attention to detail and problem-solving skills.

- Flexibility to work irregular hours, including evenings and weekends, as needed.

- Bachelor’s degree in Event Management, Hospitality, Business, or a related field is preferred but not required.
