Working from the principle of housing as a human right, Raising the Roof is a national charitable organization dedicated to the provision of housing solutions for the prevention and reduction of homelessness in Canada. We are currently scaling up our housing operations to offer affordable, supportive housing options for individuals and families across the country. We are focused on developing and managing affordable housing, advocating for impactful policy changes, and supporting individuals who are homeless or at risk of homelessness. Our mission is to ensure that everyone has access to stable, affordable housing and the necessary support to thrive.
Job Overview
We are seeking a meticulous and highly organized Data Entry Administrator to support our team with data management, ensuring accuracy and consistency in all aspects of data entry, cleaning, and reporting. The ideal candidate will be proficient in systematic and accurate data entry and tagging and ensuring that all data is maintained securely and in compliance with regulations.
Raising the Roof is approaching its 30th anniversary. In preparation for that occasion, we would like to put together a detailed history of the organization. In addition to the database work, we are looking for someone who can reach out to past board members, staff, donors and other stakeholders for interviews and search through files and archives for photos, videos and other materials related to Raising the Roof’s history.
Key Responsibilities:
Data Entry
• Input, update, and maintain donor data accurately and efficiently into the organization’s databases
• Ensure timely entry of data with a focus on precision and completeness
Data Cleaning and Formatting
• Clean and format raw data, and remove duplicate entries, to ensure consistency and standardization
• Prepare data for analysis or reporting, making sure it is easily accessible and in a standardized format
Adherence to Data Privacy Regulations:
• Ensure that all data handling practices comply with legal and regulatory requirements
• Follow organizational data policies and practices to ensure the confidentiality of all data entered into the systems
Project Planning & Coordination:
• Lead and manage the organization history project from conception to completion, ensuring milestones and deadlines are met
• Collaborate with internal departments to gather historical data, documents, and stories
Research & Documentation:
• Conduct in-depth research into the organization's history, including archival work, interviews with key stakeholders (past staff, board members, donors, etc.), and review of historical records
• Collect, organize, and synthesize historical documents, photos, videos, and other materials that tell the organization’s story
• Verify and authenticate historical details to ensure accuracy and integrity
Storytelling & Content Creation:
• Develop a cohesive narrative and structure for the organization’s history that highlights key milestones and achievements
• Create engaging content for internal and external audiences, including written articles, digital media, presentations, and historical reports
• Work with design teams to create visually appealing historical materials such as timelines, infographics, and multimedia projects
Required Qualifications:
• High school diploma or equivalent
• Post secondary education in history or communications is an asset
• Proven experience in data entry, administrative support, or database management
• Strong proficiency in Microsoft Office Suite and data entry software.
• Excellent attention to detail and accuracy with a strong focus on data integrity
• Experience with data verification, validation, and cleaning techniques
• Strong organizational skills and the ability to manage multiple data-related tasks simultaneously
• Excellent written and verbal communication skills.
This position is funded through the Canada Summer Jobs Grant. Because of this, there are eligibility criteria that must be met by the youth employed in this position.
To be eligible, youth must:
• be between 15 and 30 years of age at the beginning of the employment period*
• be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment**
and
• have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations
• The youth must be 15 years of age at the beginning of the employment period. The youth may be more than 30 years of age at the end of the employment period as long as the youth was 30 at the beginning of the employment period.
• *International students are not eligible participants. As the objective of the CSJ program is to support youth entering the Canadian labour market, the temporary nature of an international student's time in Canada does not allow for a long-term connection to the labour market.
International students include anyone who is temporarily in Canada for studies and who is not a Canadian citizen, permanent resident, or person who has been granted refugee status in Canada. Youth awaiting a refugee status ruling, as well as those who hold a temporary visitor visa, youth visa or work visa are ineligible.
Work Environment:
• Location: Remote
• Duration: Temporary, 8 week contract
• Hours: Full time, general work hours are Monday to Friday +am to 5pm, evening and weekend availability may be needed for special events on occasion
• Compensation: $20/hour
