Role Overview:
Love Letter is seeking a highly organized and proactive Design & Production Coordinator to support the development of our fashion and demi-fine jewelry collections.
You will work closely with the founder, CAD designers, vendors, and factories to manage the full journey from early design ideas to final production.
This role blends creative support (sourcing materials, developing samples) with strong operational execution (vendor coordination, QC, costing).
Key Responsibilities:
1. Design Development Support
• Assist in sourcing stones, metals, and other materials based on the design vision.
• Coordinate with CAD designers to ensure CADs are created and updated on time.
• Track CAD submissions, gather internal feedback, and manage CAD approvals for sampling.
• Maintain organized records of design notes, material options, and CAD versions.
2. Sampling Coordination
• Liaise with factories and stone vendors to manage sampling timelines and quality.
• Ensure samples are produced according to design specifications.
• Manage sample tracking, review samples internally with the founder, and coordinate revisions if needed.
• Travel to the factory as and when needed to look into sampling.
3. Production Management
• Act as the Point of Contact (POC) for all production partners — including factories and suppliers.
• Coordinate smooth handoff from sample approval to production start.
• Monitor production progress to ensure timelines are met for launches and deliveries.
• Conduct preliminary quality checks to maintain product standards.
• Travel to the factory as and when needed to look into production.
4. Costing & Vendor Management
• Collect costings from vendors and maintain updated costing sheets for each design.
• Assist in negotiating vendor pricing to achieve target margins while maintaining quality.
• Track and manage all relevant documentation related to materials, costs, and production.
Skills & Qualifications:
• 2–4 years experience in jewelry or accessories, or fashion product development/production.
• Good understanding of manufacturing processes in fashion.
• Highly organized with strong follow-up and project tracking ability.
• Comfortable coordinating with multiple vendors and managing external relationships.
• Basic costing math knowledge.
• Strong attention to detail and a good sense of quality and finish.
• Proficiency in Excel/Google Sheets and basic project management tools.
• A self-starter attitude: someone who can take ownership and solve problems independently.
Personality Fit:
• Organized but flexible in fast-changing environments
• High sense of responsibility and ownership
• Collaborative and professional in external communications
• Patient and persistent when managing factories and vendors, with the ability to handle frequent follow-ups and detailed hand-holding without frustration
• Comfortable traveling to factories and vendors to look into sampling and production responsibilities
• Excited to work closely with the founder to build Love Letter's next chapter
