Director of Events & Community Engagement
SUMMARY: Responsible for event management and community outreach for Junior Achievement Miami in concert with the organization’s philanthropic long-term strategic plan. Expected to perform the job functions in a manner that is consistent with the mission, and values of Junior Achievement.
Job Duties:
• Creates, implements, and manages events to identify, cultivate, solicit, and steward meaningful individual and corporate relationships to promote long-term engagement.
• Performs community outreach and acknowledgements for all events, projects, and community partnerships to promote mission awareness and engagement.
• Initiates invitations and schedules meetings with local (new and existing) businesses and community leaders, including follow-up and next action points.
• Plans and manages successful execution of all special events – virtual and in-person, including annual signature events.
• Prepares event cost projections and post-event reports to ensure meeting fundraising goals.
• Secures event sponsors, event auctions, event programming, and planning logistics.
• Manages a volunteer program to cultivate community engagement.
Special Events:
• Plan and implement all events in coordination with the development and marketing team, event committees, corporate sponsors, and volunteer leadership.
• Responsible for all aspects of event production, execution and not limited to timeline, logistics, coordination of printed materials, managing project staff/volunteers, working within the pre-set budget guidelines and all other aspects to create a successful event.
• Solicit auction, in-kind giving, and whenever possible underwriting for all events.
• Coordinate meetings, site visits, volunteer activities at the centers, corporate engagement projects (Play4JA, jeans days, corporate campaigns, etc) in coordination with the development & marketing team.
• Maintain a positive professional relationship with volunteers, JA staff & board members.
• Assist in the supervision and training of the volunteer steering committees for events to include creating meeting agenda, documents, in preparation for steering committee meetings.
Donor Data & Stewardship Management (specific to special events):
• Invoice sponsors and event participants, monitor database entry, acknowledgement policies and stewardship appropriate for constituents falling under special events.
• Oversee event revenue and event reconciliation to ensure all sponsorship pledges and donations are paid in a timely manner.
• Track and manage financial information as it pertains to special events to assure it supports the transactional information needs of JA and that the correct information is added to the database.
• Document procedures, updating and revising, as necessary. Coordinate and traffic marketing jobs, PR’s, invoices and other logistics.
• Serve as a resource for advice or information related to the JA donor database as it pertains to events.
• Process, track, report and acknowledge all gifts as they relate to special events in an accurate and timely fashion.
• Work with development team members on stewardship practices for sponsors and event attendees.
• Provide input about scheduling and coordinating e-blasts and mailings developed by the Communications Director to go out in a timely manner.
• Provide the most personal and appropriate stewardship experiences possible in a timely manner.
Qualifications:
• The Community Engagement position reports to the VP of Philanthropy is expected to work in-person individually and as a member of the marketing team alongside the fundraising team. Bachelor’s degree and a minimum of 5 years in related field with related experience or an Event Management College Certification with experience in the preparation and organization of special events and fundraising; salary commensurate with experience.
• Experienced in scheduling, making presentations, and executing virtual events and activities using Zoom and Microsoft Teams; willingness to learn new applications and identify innovative ways for technology to support organizational objectives.
• Project management skills: ability to multitask, problem-solve, prioritize, and to create systems and processes on a timely basis.
• Ability to work in a fast-paced environment and juggle multiple priorities, and able to react and adjust quickly to changing conditions.
• Excellent communication skills; able to communicate effectively and articulately in writing and orally. Bi-lingual strongly preferred. (English/Spanish)
• Must have excellent speaking ability in group settings and in one-on-one conversations; and the ability to work within a structure of a social service agency and develop an appreciation of its value system.
• Must remain flexible to the changing needs of the organization and have a current FL driver's license with no more than 3 points. A willingness to work evenings and weekends as needed is required.
• Strong customer focus in all tasks and activities, even while at times under pressure.
• Solid relationship management skills enhancing internal organizational relations and external community interactions.
• Understands the roles and contributions of all sectors of the community and can mobilize resources (financial and human) through meaningful engagement.
• Experience with managing invoices and multiple vendors.
• Creative thinker and problem solver.
• Self-sufficient, self-starter, and proactive.
