Executive Assistant, Group Secretariat
Job Description
Your team:
The Group Secretariat function provides company secretariat services and corporate governance advice to the Commonwealth Bank of Australia (CBA) Board of Directors, CBA’s subsidiary companies and their various committees (together, CBA Group). It also oversees the Policy Governance team.
Your role:
This exciting role offers the opportunity to provide 1-1 executive support to the Group Company Secretary ensuring their time is managed effectively. You will work in partnership with your executive including taking ownership over tasks, as well as actioning and following up on requests on behalf of your executive as required.
On any given day you will:
Provide proactive, effective and efficient administrative support to the Group Company Secretary.
Diary management: proactive, efficient time & diary management and maintenance of e-files.
Inbox management. Monitor inbox, prioritise emails, and assist in the preparation of responses.
Document management. Collation of pre reading materials (presentations, meeting papers etc.), assist in the review of papers to ensure any items manager is accountable for are prioritised and actioned in a timely manner.
Meeting management: arrange meetings, produce and distribute agenda, action items and associated papers as required and to the timeframes required. Attend meetings, taking minutes and action items as required.
Co-ordinate/arrange travel, appointments, conferences & functions.
Establish and maintain strong, effective, strategic and appropriate working relationships within business partners, EAs and other stakeholders.
HR Support: assisting with submitting recruitment requests and onboarding.
Generating reports, assisting with budgets.
Provide relief board coordination as required.
Provide adhoc administrative support to the wider team.
We're interested in hearing from people who have:
Previous experience supporting as a senior Executive Assistant.
Self-motivated individual, who displays a pro-active style, has exceptional attention to detail and an inherent desire to provide excellent customer service.
Confidence using Microsoft Office Suite.
An ability to build relationships easily across the business, are highly personable with excellent communication skills.
The ability to manage workflow, priorities, work well under pressure and be flexible.
