Discover the Role
We are seeking a highly organized, proactive, and professionally mature Executive Assistant to support MD India, a senior EXCO member. The ideal candidate will manage calendars, oversee project follow-ups, coordinate client interactions, handle travel and administrative tasks, and represent TMF with a high level of professionalism and enthusiasm.

This role requires someone who is articulate, presentable, and capable of handling senior-level interactions confidently while maintaining confidentiality and discretion.


Key Responsibilities
A. Executive Support & Calendar Management
Manage complex calendars, schedule internal and external meetings, and prioritize appointments effectively.
Coordinate with multiple stakeholders to ensure seamless time management for the EXCO office.
Anticipate needs and proactively adjust the schedule when required.
B. Project Coordination & Follow-Up
Pick up assigned projects and track their progress end-to-end.
Follow up with internal teams to ensure timelines, milestones, and deliverables are met.
Provide regular status updates and escalate issues when necessary.
C. Client Interaction & Relationship Management
Act as the face of TMF while interacting with clients and senior partners.
Join client meetings, capture minutes, track action items, and coordinate follow-ups.
Build strong professional relationships and ensure timely communication.
D. Administrative & Operational Assistance
Handle travel arrangements, itineraries, accommodation, and logistics.
Manage expense reports, documentation, administrative tasks, and internal coordination.
Support the EXCO office in preparing presentations, briefing notes, and meeting materials.
E. Communication & Presentation
Communicate clearly and professionally on behalf of the EXCO member.
Draft emails, prepare summaries, and ensure high-quality documentation.
Maintain confidentiality while handling sensitive information.


Key Requirements
Must-Have Skills & Attributes
Strong command of spoken and written English; articulate and confident communicator.
Highly presentable, polished, and professional in demeanor.
Strong organizational and time-management skills.
Ability to work with senior leaders, clients, and cross-functional teams.
Proactive, enthusiastic, and able to anticipate needs without being prompted.
Mature, composed, and capable of handling pressure and ambiguity.
Ability to build rapport and understand Mohans working style quickly.
Experience Requirements
8+ years of experience as an EA, Executive Coordinator, or in similar roles.
Experience supporting CXO-level leaders is highly preferred.
Experience coordinating with clients, preparing documentation, and managing projects.
