Administrative Assistant
Job Description
We are seeking a reliable and confident Administrative Assistant to support our growing operations. This is a fully remote position, starting part-time, with the intention of transitioning into a full-time salaried role for the right candidate.
This is a communication-focused role suited to someone who is organized, professional, and comfortable interacting with clients by phone and email in a fast-paced environment.
Key Responsibilities
Manage email and phone communication with existing clients
Book and schedule services
Conduct outbound calls to existing clients to secure bookings
Provide client-facing communication, follow-up, and service coordination
Prepare and send quotes and contracts
Track additional services and service requests
Upsell and offer additional services when appropriate
Conduct collections calls as required
Provide general administrative and scheduling support
Communicate effectively with staff members and clients
Handle vendor management, including ordering equipment and maintaining vendor relationships
Organize documents and maintain electronic filing systems
Perform other related duties as required
Skills & Qualifications
Strong written and verbal communication skills
Administrative experience preferred; entry-level candidates considered with strong communication skills
Previous sales experience is an asset
Comfortable with outbound client calls
Proficient in calendar management and scheduling tools
Experience with Google Workspace and Microsoft Office
Knowledge of office administration best practices
Strong organizational skills with attention to detail
Ability to remain calm, focused, and responsive under pressure
Self-motivated and able to take direction well
Work Expectations
While this is a remote role, the full-time position requires consistent availability and active engagement during scheduled working hours. The successful candidate must be able to prioritize this role and remain responsive throughout their shift.
Although this position is fully remote, familiarity with Kelowna, BC, Calgary, AB, or Edmonton, AB is considered an asset due to client locations.
