Job Overview:We are seeking an energetic and bubbly Event Coordinator to join our dynamic team. The ideal candidate will play a crucial role in the planning and execution of our events, including the upcoming GIFT City Financial Markets & Technology Forum. This role involves organizing attendee lists, inviting trading firms, supporting sponsorship acquisition, and ensuring the seamless execution of events on the day.
Key Responsibilities:Event Planning and CoordinationAssist in the development and implementation of event plans and timelines.Coordinate with vendors sponsors, and other stakeholders to ensure all aspects of the event are executed flawlessly.Manage event logistics, including venue setup, catering, audio/visual requirements, and transportation.
Attendee Management:Organize and maintain an accurate and up-to-date attendee list.Handle attendee communications, including invitations, confirmations, and follow-ups.Provide exceptional customer service to attendees, addressing any inquiries or issues promptly.
Sponsorship Support:Assist in identifying and reaching out to potential sponsors.Support the sponsorship acquisition process, including the preparation of proposals and agreements.Ensure sponsors' needs and expectations are met, providing regular updates and reports.
On-Site Event Management:Be present at events to oversee the setup, execution, and teardown.Coordinate with staff and volunteers to ensure smooth operations.Address any on-site issues or emergencies, ensuring a positive experience for all participants.
Post-Event Activities:Assist in post-event evaluation and reporting.Handle post-event communications, including thank-you notes and feedback collection.Support the reconciliation of event expenses and budgets.
Qualifications:Education and Experience:Bachelor's degree in Event Management, Marketing, Communications, or a related field.1-3 years of experience in event planning and coordination, preferably within the financial or corporate sector.
Skills and Abilities:Excellent organizational and multitasking skills.Strong communication and interpersonal skills, with a bubbly and energetic personality.Ability to work under pressure and handle multiple projects simultaneously.Proficiency in Microsoft Office Suite and event management software.Detail-oriented with strong problem-solving abilities
