• *About Us:**

The Be Cafe is a donor-funded nonprofit coffee shop providing meaningful employment to people with intellectual disabilities. Established in 201+ by a local middle school teacher whose son has Down syndrome, the Be Café has grown from its original location (Brody’s Be Café in Ada) to five total locations across West Michigan, including Gaslight Be Café (East Grand Rapids) and Liam’s Be Café (Lowell). Today, over 75 people are employed in the Be Café’s programming, gaining workplace skills that lend to economic independence. That’s coffee with a purpose. The Be Café Coffee Stations are a fast-growing service made available for those who want to serve groups of people while sharing our mission.
• *Job Summary:**

We are looking for an enthusiastic and organized Events & Coffee Station Coordinator to join our team. The ideal candidate will be responsible for coordinating, and executing the Be Café Coffee Stations along with managing all internal and external events for the organization. This role requires strong project management skills, a talent for managing multiple tasks promptly, and a unique ability to work with and manage employees with special needs. This role requires availability on nights and weekends.
• *Key Responsibilities:**
• *Scheduling / Management:** Maintain, pursue and execute incoming coffee station requests while coordinating with Beristas and their families, Coaches and Program Director to properly staff each event.
• *Event Planning:** Conceptualize, plan, and execute a range of events including fundraisers, community outreach, employee parties, educational workshops, and donor appreciation events.
• *Vendor Coordination:** Select and manage relationships with vendors such as caterers, venues, decorators, and entertainers to ensure high-quality event execution.
• *Marketing & Promotion:** Work with the marketing team to promote events through various channels (social media, email campaigns, local media, etc.) to maximize attendance and visibility.
• *Sponsorships:** Work with the Donor Development team to identify and pursue sponsors and coffee station sales.
• *Logistics:** Oversee all logistical aspects of event planning, including venue selection, scheduling, equipment setup, and post-event breakdown.
• *Volunteer Management:** Recruit, train, and coordinate volunteers for events to ensure smooth operations and a positive experience for all involved.
• *Stakeholder Engagement:** Work with the donor development and marketing teams to ensure communications with donors, sponsors, past customers, and community partners to maximize involvement and satisfaction with events and coffee stations.
• *Evaluation & Reporting:** Analyze event outcomes against objectives, prepare detailed post-event reports, and make recommendations for future events.
• *Qualifications:**
• *Education:** Bachelor’s degree in Event Management, Public Relations, Marketing, or a related field is preferred.
• *Experience:** Minimum of 2-3 years of experience in event planning, preferably within a nonprofit or community-based organization.
• *Skills:**

- Exceptional organizational and multitasking skills.

- Strong project management abilities.

- Excellent communication and interpersonal skills, with the ability to work with diverse groups of individuals with intellectual disabilities.

- Proficiency in Google Drive, Microsoft Office Suite and familiarity with event and/or donor management software.

- Creative problem-solving and attention to detail.

- Ability to work evenings and weekends as required by event schedules.
