Position Description

Position: Event Coordinator

Position Status: Non-Exempt

Supervision: Director of Member Experience & Events

Compensation:
• $52,000-$72,000 + quarterly performance bonuses

Position Purpose

To optimize member engagement through the planning and execution of AWB special events, seminars, webinars, and awards programs.

Performance Expectation

• Work successfully with members, the public and other departments and staff at AWB.
• Familiarity and understanding of department goals and AWB policies and procedures.
• Some in-state travel relating to the specific event(s) on scheduled dates throughout the year.

Job Description
• Meeting planning for seminars and events; work with AWB events team on agenda development, contracts, speakers, banquet orders, audio visual, and other event needs. Events include but are not limited to Legislative Day and Hill Climb, Workforce Summit, Business, HR and Employment Law Webinar Series, Congressional Affairs Summit, Manufacturing Bus Tour, Rural Vitality, Evening of Excellence, and other events as assigned.
• Serve as day-of operations for the above-mentioned events. Answer incoming inquiries and provide superior customer service to members and non-members regarding seminars, events, and other service programs.
• Coordinate development, production, and distribution of marketing materials for assigned events and programs including, but not limited to HTML emails, website, application and virtual event software to include Zoom and virtual platform Whova.
• Work with Director of Member Experience & Events and Communications team to develop marketing plans and monitor performance of events to ensure department goals are being achieved.
• Work with Member Experience & Sponsorship Manager on deliverables for event sponsors.
• Manage staffing duties and schedules at assigned events.
• Write and proof copy for, event scripts including A/V notes and run-of-show to ensure seamless and high-quality events.
• Create and update AWB.org website utilizing WordPress CMS for all events and related activities including, but not limited to, creating registrations, promoting sponsors, sharing event videos and boosting social media campaigns.
• Prepare, send and manage event related notices and invoices with events team. Accountable to the Events Director for managing associated events expenses.
• Coordinate with events team on mail and email merges – preparation of small and large mailings.
• Provide some administrative support for AWB seminars and events, including general filing, photocopying, reports, routine mailings, data entry, manage mailing lists, coordinate direct mail campaigns, and basic desktop publishing.
• Work with the entire events team to manage events in AWB database and CRM.
• Communicate with vendors and third-party administrators, compile seminar and meeting materials, coordinate production of marketing materials, and monitor production calendar for seminars.
• Support management of the AWB Awards program from nominations, to judging and awards gala including 4 manufacturing excellence awards and + business excellence awards.
• Utilize design software to build proof of performance reports for event sponsors.
• As well as any other duties assigned by supervisors.

Required Skills/Preferred Experience

Bachelor’s degree; preferably in marketing, public relations or business-related field or equivalent job-specific experience.

Working knowledge of:
• Digital events software: Zoom, and Whova or similar platform, Asana
• Microsoft suite: Word; Excel; Outlook, OneDrive, PowerPoint
• Google docs, slides and sheets
• Adobe Creative Suite including Photoshop, After Effects or similar video editing software
• Familiarity with CRMs/database management is beneficial. Experience pulling queries within database
• MailChimp and HTML email design
• Website CMS such as WordPress, Wix, Squarspace, Genome

Job Type: Full-time

Pay: $52,000.00 - $72,000.00 per year
