The Alberta Jubilee Auditoria Society (“AJAS”) is a not-for-profit organization that emphasizes extraordinary patron services and fostering cultural development in both Edmonton and Calgary facilities. The Society is led by a Board of Directors with representatives from across Alberta and works with the Government of Alberta (GOA)’s Ministry of Culture and Status of Women to operate these legacy performing arts venues through front-of-house, back-of-house, marketing and community engagement services.

The Events and Programming Manager is responsible for developing, overseeing, and expanding community engagement programming both online and in person for the Northern and Southern Jubilee Auditoria. This role includes budget management, team coordination, program scheduling, workshop preparation, and collaboration with artists and educators. The Manager will oversee arts and culture programming, train facilitators, document educational processes, review applications, and promote the organization’s activities within the arts community. The role also involves identifying and managing revenue and sponsorship opportunities and contributing to the overall culture and responsibilities of AJAS’ administrative team.

Duties and responsibilities:

Community Engagement Programs:
• Oversee arts and culture programming for Jube School, Jubilee activations, Backstage Access, Jubefest, Culture Days and other special events.
• Develop and manage budget for the Arts and Community Engagement pillar of AJAS that caters to diverse audiences both online and in person.
• Oversee coordinators to create detailed schedules for workshops, ensure proper preparation, and facilitate both in-person and virtual sessions when necessary.
• Maintain regular communication with artists, teachers, and facilitators to ensure smooth operation and high-quality programming.
• Train and oversee 2 coordinators (Calgary/Edmonton) and several facilitators to maintain consistent and effective program delivery.
• Delivery and support of Jube School programming (5 Day, 1&2 Day, Summer Camp and special programs) both in person and online.
• Document the educational processes and outcomes to evaluate and improve program effectiveness.
• Review and accept applications for participation in programs, ensuring a diverse and inclusive selection process.
• Develop and implement strategies to promote programs and events within the community, increasing awareness and participation.
• Work with leadership to create and run activations for Jubilee patrons

Rotating Public Art Spaces:
• Solicit and review applications for Rotating Public Art Spaces.
• Provide selected artists with contracts and coordinating pick-up/drop off of their pieces.
• Schedule the installation and removal of art pieces.
• Coordinate the creation of all promotional materials for Rotating Public Art Spaces.
• Plan and orchestrate the Opening Night Reception for exhibitions (booking catering, planning event and inviting guests).

Community Outreach:
• Build and maintain strong connections with the local arts community, including theatre, music, and visual arts sectors.
• Work with local organizations to build a roster of arts educators and form meaningful partnerships.
• Actively promote community engagement programs and events through Teachers’ Conventions, community events, and other promotional opportunities.
• Assist in organizing outreach programs and other in-house events, ensuring a positive and impactful community presence.
• Expand and manage the internship program in conjunction with the union to provide valuable learning opportunities.
• Assist in the development and enhancement of technical programs within educational environments.
• Book events and activations at partner venue, Royal Alberta Museum (Edmonton)
• Contribute to livestream operations and other internal projects
• Regularly attend Campus Calgary Open Minds and Inquiring Minds Edmonton meetings

Communication and Reporting:
• Present updates on community engagement activities and outcomes to stakeholders, including Board Members, sponsors, and community partners.
• Actively contribute to the culture and responsibilities of the administrative team, supporting team objectives and initiatives.

Financial Management:
• Develop and manage budgets for community engagement activities, ensuring financial efficiency and sustainability.
• Identify potential revenue and sponsorship sources and manage these relationships to secure funding for programs.
• Oversee the financial plan for community engagement activities and report on financial status to stakeholders.

Qualifications:
• Bachelor’s degree in Administration, Community Development, Education, or a related field.
• Minimum of 3-5 years of experience in community engagement, arts administration, or a related field. Experience with program development and budget management is essential.
• Strong organizational and project management skills.
• Excellent communication and interpersonal abilities.
• Proficiency in budget management and financial reporting.
• Ability to work collaboratively with artists, educators, and community members.
• Competence in marketing and promotional strategies.
• Experience in Livestreaming and streaming support is an asset.
• Creative problem-solving skills and a proactive approach.
• Ability to work independently and as part of a team.
• Commitment to diversity, equity, and inclusion in programming and outreach.
