Workplace Type: Hybrid - 3 days per week in the office - + Derry Street, Kensington, London, W8 5HY.

New Scientist’s events currently comprise of our multi award winning annual festival at ExCeL, New Scientist Live, as well as a programme of virtual and hybrid evening events and one-day masterclasses. The team also develop events for our commercial partners.
This role supports the entire events team and is critical to the success of New Scientist Events. The ideal candidate will be a highly organised, self-motivated and efficient individual with a helpful, can-do attitude, great attention to detail and administrative skills. Events experience would be ideal, particularly in relation to speaker management.
Main Responsibilities
Administration
• Act as main point of contact for contributors to New Scientist Events
• Manage contracting process and content submission with event contributors
• Track ticket sales and update relevant documents
Show Content and Programme Support
• Work with the Head of Event Production to support speaker invitations
• Support Events and Projects Executive with onsite logistics for live events.
• Update the website with event content as confirmed
• Prepare briefing documents and FAQs for event contributors
• Work closely with livestreaming partner to ensure the smooth running of virtual events
• Pre and post-event administration including invoicing for speakers and other suppliers and sharing visitor survey data.
Sales Support
• Administrative support for exhibitor and sponsorship contracts, invoicing and reporting
• Managing comms with exhibitors and sponsorship and answering general enquiries.
• Maintaining CRM database for exhibitor and sponsorship client for New Scientist Live (Salesforce)
• Administrating process for issuing exhibitor passes and exhibitor comp tickets and assisting onsite with exhibition liaison.
• Assisting with on-site rebook process and preparing onsite materials for rebooking campaign
Person Specification
• Meticulous attention to detail and accuracy
• Great Word, Excel and PowerPoint skills
• Positive, enthusiastic approach and ability to work on own initiative
• Excellent time management, organisation and prioritising skills
• Proven ability to work under pressure and to tight deadlines
• Excellent spelling, grammar, writing and communication skills.
• Team player, reliable, approachable, hard worker, flexible
