Position Overview: We are seeking a highly organised and proactive Executive Administrative Assistant to support a Partner at our accounting firm and assist with the operations of a SaaS startup. The ideal candidate will possess exceptional multitasking abilities, strong communication skills, and the ability to work independently. This role requires a high level of attention to detail, a proactive approach to problem-solving, and the ability to handle confidential information with discretion.

Responsibilities: Email and Communication Management:

● Manage and prioritise incoming emails, responding on behalf of the Partner when necessary.

● Filter and direct incoming calls, taking detailed messages or resolving inquiries independently. Marketing and Social Media Support:

● Assist with marketing activities, including content creation, editing, and proofreading.

● Manage social media platforms, including posting updates and engaging with the audience.

● Monitor online presence and provide recommendations for improving brand visibility. Accounting and Administrative Support:

● Assist with basic accounting tasks, such as tracking expenses, invoicing, and managing payments.

● Handle administrative tasks, including organising files, maintaining records, and preparing reports.

● Coordinate travel arrangements, accommodations, and itineraries as needed. Calendar and Meeting Management: ● Manage the Partner's calendar, schedule appointments, and coordinate meeting logistics.

● Prepare meeting agendas, take minutes, and follow up on action items.

● Schedule and arrange conference calls, video meetings, and webinars.

Team Coordination and Support:

● Collaborate with team members to ensure project deadlines are met and deliverables are achieved.

● Facilitate effective communication among team members, ensuring everyone is up to date on project progress.

● Collect daily updates from the team, summarise information, and report to the Partner. Social Media and Online Presence:

● Create and curate engaging content for social media platforms.

● Monitor social media accounts, respond to comments, and engage with followers.

● Stay up to date with industry trends and suggest new ideas for social media campaigns.

Requirements:

● Bachelor's degree in Business Administration, Communications, or a related field (preferred).

● Proven experience as an Executive Administrative Assistant or in a similar role.

● Excellent written and verbal communication skills.

● Proficiency in using productivity tools such as Microsoft Office Suite, Google Suite, and project management software.

● Strong organisational skills with the ability to prioritise tasks and manage time effectively.

● Attention to detail and the ability to handle confidential information with discretion.

● Experience with basic accounting tasks is a plus.

● Familiarity with social media platforms and marketing concepts is advantageous.

● Ability to work independently and adapt to changing priorities in a fast-paced environment
