Executive Assistant

The candidate will provide top-level assistance for the CEO. They should be well-organized and be comfortable scheduling meetings and responding to emails on the CEO's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.

Responsibilities

Calendar Management: Maintain and manage the CEO's calendar, including scheduling

meetings, appointments, and travel arrangements.

Communication: Act as the primary point of contact between the CEO and

internal/external stakeholders. Screen and prioritize phone calls, emails, and other

communications.

Meeting Coordination: Prepare agendas, attend meetings, and record minutes. Follow up

on action items to ensure timely completion.

Documentation: Draft, review, and edit reports, presentations, and other documents.

Ensure all documentation is accurate and professionally presented.

Project Management: Assist the COO with special projects, including research, data

analysis, and reporting. Coordinate cross-departmental initiatives as needed.

Travel Arrangements: Plan and coordinate travel itineraries, accommodations, and logistics

for the CEO.

Event Planning: Organize and manage company events, executive meetings, and other

functions as required.

Confidentiality: Handle sensitive and confidential information with discretion and

professionalism

Office Management: Oversee the operations of the executive office, including ordering

supplies, maintaining records, and ensuring the office environment is organized and

efficient.

Support to Executive Team: Provide administrative support to other executives as needed,

ensuring smooth communication and coordination within the executive team.

Qualifications
• Bachelor's degree or equivalent experience
• Proficient in Google office.
• Experience in managing multiple priorities, administrative coordination, and logistics
• Well-organized, detail-oriented, ability to multi-task with great follow-up skills
• Strong written and verbal communication skills
