Position Title: Executive Assistant to Director

Location: Surat

Department: Administration

Reports To: Director

Employment Type: Full-Time

Job Summary

The Executive Assistant to the Director is a highly organized and proactive individual responsible for providing comprehensive administrative support to the Director. This role demands a high level of confidentiality, discretion, and professionalism, as well as the ability to manage multiple priorities and work efficiently in a fast-paced environment.

Key Responsibilities
• Administrative Support:
• Manage the Director’s calendar, including scheduling meetings, appointments, and travel arrangements.
• Prepare and edit correspondence, reports, presentations, and other documents.
• Handle incoming calls, emails, and other communications on behalf of the Director.
• Coordinate and manage the Director’s daily tasks and deadlines.
• Organize and maintain files, records, and documents, ensuring confidentiality and accessibility.
• Meeting Coordination:
• Plan and organize meetings, including preparing agendas, taking minutes, and following up on action items.
• Liaise with internal and external stakeholders to schedule and confirm meetings.
• Ensure meeting rooms are prepared with necessary materials and equipment.
• Travel & Expense Management:
• Arrange and coordinate domestic and international travel itineraries, including flights, accommodations, and transportation.
• Process expense reports and ensure timely reimbursement.
• Project Assistance:
• Assist with special projects as assigned by the Director, including research, data analysis, and preparing reports.
• Act as a liaison between the Director and other departments or external parties.
• Event Coordination:
• Plan and execute company events, conferences, and workshops as directed by the Director.
• Handle logistics, including venue selection, catering, and participant communication.
• Communication & Liaison:
• Act as the point of contact between the Director and internal/external stakeholders.
• Handle sensitive information with a high degree of confidentiality and discretion.
• Communicate on behalf of the Director, ensuring clarity and consistency in messaging.
• General Office Management:
• Oversee the day-to-day operations of the Director’s office.
• Maintain office supplies and coordinate with vendors as necessary.
• Ensure a clean and organized workspace.

Qualifications
• Education: Bachelor’s degree in Business Administration, Management, or a related field preferred.
• Experience: Minimum of 1-2years of experience as an Executive Assistant, preferably supporting senior-level executives.
• Skills:
• Excellent organizational and time-management skills.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to handle multiple tasks and prioritize effectively.
• Strong attention to detail and problem-solving skills.
• Ability to work independently and as part of a team.
