The Role
The Corporate and Enabling Services Group provides high quality and trusted corporate and enabling services to support our Ministers, the Secretary, the department and our client agencies to deliver outcomes. We are a diverse Group that covers a range of functions including Human Resources, Legal, Financial Management, Budgets, Communications and Strategic policy.
The People Branch and the External Budget and Performance Branch are seeking to fill APS4 Executive Assistant positions. As an Executive Assistant you will be a critical part of the team, providing high level administrative support and ensuring the effective and efficient operation of the branch on a day-to-day basis. In this role, you will need a high degree of initiative and communication. Due to the sensitive nature of some matters encountered within each branch, it will be critical for you to exercise discretion and maintain confidentiality.
Duties and Responsibilities
As an Executive Assistant, you will be responsible for the following:
managing and organising the diary and emails for the Assistant Secretary including scheduling appointments and meetings and flagging urgent and sensitive emails,
anticipating logistical requirements for meetings, including preparing briefing materials for the Assistant Secretary prior to their meetings,
managing Branch coordination activities and working with staff to ensure tasks, correspondence and briefing are completed according to priority and deadlines,
providing support for the Branch as required (including accommodation/property needs, support for committees and coordination of requests such as Branch meetings and events),
preparing minor correspondence, minutes and other written material as directed,
answering the phone and taking messages/actions where appropriate as well as updating telephone and email contact lists, and
using departmental systems such as PDMS when required and managing record keeping in accordance with departmental processes.

Eligibility
Citizenship - to be eligible for employment with the Department, you must be an Australian Citizen or, in limited circumstances, in the process of obtaining it.
Security Clearance - our successful candidate is required to hold, or have the ability to obtain, and maintain a Baseline security clearance.
