On-Site Work Arrangement – 5x a week working at Markham, ON Head Office (404 and Highway 7)
What You’ll Be Doing: You will be a welcomed member of the Sienna team, working collaboratively with the executive assistants and key stakeholders to support two Senior Executive Team Members with all executive and administrative matters in all areas under their respective responsibilities.

How You Will Succeed:

Compile data and reports, prepare agendas and meeting packages, and respond to routine formal written correspondence; coordinate meetings and teleconferences
Support with expense reports, arrange and book corporate travel and functions for the two EVPs
Help prepare presentations and manage workflow of special projects
Coordinate meeting agendas and materials where the EVPs are the chair, take and distribute minutes and follow up and report to the EVPs
Respond to issues and tasks on behalf of the EVPs as directed, often in high pressure situations
Proactively manage the daily schedule for the EVPs, rationalizing and prioritizing competing demands from various sources from within and outside the organization
Communicate in person and through correspondence with high level contacts inside and outside the organization such as vendors and senior leadership
Maintain strict confidentiality on all matters
Proactively create and maintain effective workflow and communications to accomplish the work projects.
Perform other duties as assigned.
Who You Are:

You are willing to commute to our Markham office to support our Senior Executive team members onsite based on a 5 day per week schedule
You have experience supporting executive level management at a publicly traded organization
You possess excellent Microsoft Word, Outlook, Excel and PowerPoint skills and have the ability to create and update presentation slides on behalf of Senior Executive Team Members
You take the initiative and have the ability to perform tasks without being asked, and achieve desired results without having to wait for answers or direction
You have the ability to handle multiple tasks and changing priorities while maintaining a high degree of accuracy
You have demonstrated experience in building effective business relationships with high profile internal and external clients
You have proven ability to effectively function in high stress situations and have the ability to adapt to a fast paced and ever changing environment
You have strong verbal and written communication skills.
