Description

Workplace Health and Safety (WHS) team is looking for a self-motivated and customer obsessed Executive Assistant to support two Directors in our UK&IE WHS teams in London, United Kingdom.

This role requires strong organizational skills with the ability to complete multiple tasks and projects quickly with little guidance, as well as react with appropriate urgency to situations and events that require quick response or turnaround.

The ideal candidate will be a detail oriented, experienced planner with the demonstrated ability to make smart and timely decisions, while maintaining a broader awareness of the organization and business priorities.

The Executive Assistant will need to build effective working relationships inside and outside of the organization with discretion and integrity. The successful candidate will be enthusiastic, have impeccable attention to detail, strong organization skills and will be able to work effectively in an ambiguous environment while preserving a flexible nature.

Candidates without an executive assistant background will be considered.

Project work can be related but is not limited to subjects like Engagement, Recruiting, Training or Process Improvement.

As a community the EAs work together to deliver large scale events and to share workload when priorities demand additional support - commitment to teamwork is essential.

Key job responsibilities
• Coordination of global schedules, travel arrangements, and seamless meeting logistics such as video conferencing and conference calls for internal and external meetings.
• Calendar management and scheduling of internal and external meetings including the preparation of the documentation.
• Organization and prioritization of appropriately handle time-sensitive, confidential information, ensuring the action required is addressed in a timely manner.
• Assisting with a wide variety of day to day administrative tasks on behalf of the Directors, such as handling expenses.
• Assistance with event coordination (including team meetings and morale events).
• Catering and supply orders.

Basic Qualifications
• Demonstrable experience in the key responsibilities of the role, as described above in the job posting.
• Executive Assistant experience providing support for directors or senior level executives preferred.
• Ability to effectively prioritize and deliver multiple assignments while also serving as point of contact for a large team.
• Proficiency MS Office knowledge (Word, Excel, Outlook, PowerPoint).
• High proficiency of English; open to other EU languages.

Preferred Qualifications
• Previous working experience within a large scale rapid and process driven environment would be beneficial.
• Degree level qualification or equivalent.
