Role: Executive Assistant/Front Office Executive
Principle Accountabilities & Responsibilities
• Coordinating Insight India meet and greet sessions with teammates across different locations, working with other functions, ensuring efficient use of time and prioritization of appointments and meetings.
• Serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the Country Leader
• Prepare / coordinate agenda for visiting dignitaries travel to India (e.g. Customer visits and Insight leaders from North America, EMEA and APAC), including schedule of meetings with technical / functional leaders and teams and other items
• Coordinate with admin for visiting dignitaries travel arrangements, including flights, accommodations, and ground transportation.
• Coordinate executive communications, including taking calls, responding to emails, and interfacing with Clients and Senior management
• Manage professional and personal scheduling for executive leader including agendas, mail, email, phone calls, client management, and other company logistics.
• Typing and maintaining papers/filing and preparing presentation/ MOM, setting up appointments and organizing venues for minutes, hospitality for visitors as directed by the country leader.
• Should be competent enough to delegate work on behalf of the country leader
• Other typical executive assistant responsibilities
Required Experience And Skills
• Minimum of 3-6 years of experience as an Executive Assistant or Front Office Executive reporting directly to senior management
• Excellent verbal communication, written and interpersonal skills, with the ability to build and maintain professional relationships at all levels.
• High level of discretion, integrity, and professionalism when handling confidential information.
• Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.
• Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities.
• Ability to maintain confidentiality of information related to the company and its employees.
• Friendly and professional demeanor.
• Proficiency with office productivity tools and an aptitude for learning new software and systems.
