he purpose of the role is to provide high-level and efficient confidential executive support in a fast-paced high-volume environment.
As The Executive Officer You Will
Manage and provide high-level executive support and coordinate information and advice to the Deputy Director-General and Principal Advisor to ensure effective functioning of the Office of the Deputy Director-General.
Provide and coordinate quality control for the administration of the Deputy Director-General's meetings, which includes coordination of forward agendas and briefs and follow-up actions that arise from meetings.
Maintain the Deputy Director-General's diary, including organisation of appointments, accommodation and travel arrangements.
Screen and intercept telephone calls and redirect enquiries.
Organise Deputy Director-General events and speaking engagements including speech notes, travel and logistics.
Organise Deputy Director-General communication and engagement activities (e.g., divisional, executive and leadership team meetings, external stakeholder meetings) including associated documentation, conference room bookings, travel and logistics.
Coordinate agendas and papers for boards and committees chaired or attended by the Deputy Director-General including pre-approvals, review and comment prior to meetings.
Assist with the management of corporate card reconciliations, payment of invoices, stationery orders and administrative reports.
Develop and maintain relationships across the division, the Office of Director- General, departmental offices, within government and with the private sector.
Maintain continuity of workflows to ensure the Deputy Director-General and the Principal Advisor are supported.
