Position Name: Part-time Facilities Coordinator

Reports to: Support Services Director

Work Hours: 15 – 20 hours a week

Due to the nature of events, the Facilities Coordinator may be required to work at other times to accommodate meetings, weddings, rehearsals, funerals, and other special events.

ROLE SUMMARY:

Reporting to the Support Services Director, the Part-time Facilities Coordinator is a multi-faceted role that is hands-on and works collaboratively with committee members, clergy, staff, and all visitors to the church to provide facilities & events support for Grace Presbyterian Church members, the community and all facility users achieving high standards while optimizing costs. This position will be the primary staff person supporting internal and external events, and users of Graces’ facilities.

PURPOSE

Coordinate with Admin Support in event planning, and related staff optimization.
On-site event coordination with facility users, staff, volunteers, and admin support
Supports leadership and training for all facilities staff
Provides exceptional customer service to all users of the facilities, including internal and external committees, groups, and community stakeholders
RESPONSIBILITIES:

Operating Systems

Possess a general working knowledge of building operating systems
Oversees event staff in providing security facility setup and teardown and safety to event participants
Arranges parking for assigned events
Church Building and Grounds

Performs preventative maintenance inspections while on shift throughout the building to look for and report any maintenance issues
Ensures the general cleaning, repairs, and maintenance including ground maintenance equipment
Safety and Security

Ensures building entrances cleared of any obstructions, debris, snow and ice for facility users
Coordinates with local agencies and law enforcement to ensure that the grounds are free from people / groups who may leave garbage and intimidate visitors to the church
Supports all health & safety programs and with the Support Services Director, including workplace hazard assessment, occupational health and safety protocols, and proper supply and use of all PPE
Use of Facilities / Event Duties

Assists outside groups using Grace’s facilities with event logistics
Leads and supports admin services, as required, with events including pre-event safety assessments and placement of safety controls
Staff Supervision

Works collaboratively with the Admin Support team, the Part-time Facilities Coordinator oversees facilities team
Assists / provides input in the hiring of part time Facilities Assistants
Assists with scheduling and supervision Facilities Assistants for events
Ensures staff training, awareness and understanding of emergency action protocol in consultation with the directions of the Support Services Director Identifies any training requirements for Facilities Assistants to the Support Services Director
Facilities Procedures Manual

Assists the Support Services Director on procedures for opening and securing the building, location of all supplies, cleaning schedule, procedures for all worship services, and a list of emergency contacts
Assists with additions /updates the procedures manual as approved by the facilities committee.
Required Skills and Experience

Minimum of 3 to 5 years of related facility & event management experience
Clear written and oral communication skills in English
Computer skills in Outlook, Word, Excel, SharePoint and ZOOM
Ability to lift heavy objects, which sometimes requires lifting overhead to a maximum of 50 pounds
Professional and service-oriented attitude
Expectations and Requirements

Current First Aid/CPR/AED and WHMIS, and full Food Safety 1-day AHS tickets are desired
Comply with the Leading with Care policy of the Presbyterian Church in Canada and Grace’s Human Resources Policies, including satisfactory police background checks
Work collaboratively with internal and external stakeholders to achieve the vision, mission, and objectives as determined by the Session
Be respectful of all members, adherents, volunteers, and visitors of Grace Church.
Respect the confidentiality of information
Demonstrate a consistently welcoming and hospitable attitude towards the people of Grace and other facility users
Notify the church office when away from the church and submit requests for time off and/or vacation in writing to the Support Services Director.
Participate in staff meetings and other meetings, as required
Be willing to adjust work schedule(s) from time to time
Legally able to work in Canada

Pay: $28.00-$32.00 per hour
