Position Overview:
We are seeking a friendly, professional, and highly organized Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, representing the company with a positive and welcoming attitude. The Receptionist will manage front desk operations, handle administrative tasks, and support our team in delivering outstanding service.
Key Responsibilities:
• Greeting Visitors: Welcome and assist visitors in a courteous and professional manner. Ensure they are directed to the appropriate person or department.
• Managing Communications: Handle incoming phone calls, emails, and messages. Route them to the appropriate staff member or department as needed.
• Office Management: Maintain a tidy and organized reception area. Ensure office supplies are stocked and manage the mailing system.
• Appointment Scheduling: Coordinate and schedule appointments and meetings for staff members, including managing conference room bookings.
• Administrative Support: Provide administrative support to various departments, including data entry, filing, and document preparation.
• Client Interaction: Handle client inquiries, resolve issues, and provide information about our products and services as required.
• Security: Monitor and manage access to the building, including signing in visitors and issuing visitor badges.
Qualifications:
• Education: High school diploma or equivalent. Additional qualifications in Office Administration or related fields are a plus.
• Experience: Proven experience as a receptionist, front office representative, or similar role is preferred.
• Skills:
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Strong organizational and multitasking abilities.
• Professional appearance and demeanor.
• Ability to handle sensitive information with discretion.
• Personality: Friendly, approachable, and able to remain calm under pressure.
