Front Office Executive for WELLNESS HOSPITALS.

Position Overview:

As a Front Office Executive in the healthcare industry, you will play a crucial role in ensuring smooth and efficient operations at the front desk or reception area of a healthcare facility. Your primary responsibility will be to provide exceptional customer service to patients, visitors, and staff members, while also performing administrative tasks to support the overall functioning of the healthcare organization.

Key Responsibilities:

Greeting and Welcoming:

Welcome patients, visitors, and staff members in a friendly and professional manner. Provide them with necessary information and directions, ensuring a positive first impression of the healthcare facility.

Appointment Scheduling:

Manage and coordinate patient appointments, ensuring optimal utilization of the healthcare provider's schedule. Handle phone calls, emails, and in-person inquiries related to appointments, cancellations, and rescheduling.

Registration and Check-in:

Collect and verify patient information, including personal details, insurance details, and medical history, ensuring accurate and complete records. Efficiently handle patient registration and check-in procedures, maintaining confidentiality and adhering to relevant privacy regulations.

Insurance Verification:

Verify patient insurance coverage, eligibility, and benefits, ensuring accurate billing and claims processing. Collaborate with insurance providers to resolve any issues or discrepancies.

Billing and Payment Processing:

Assist in generating invoices, collecting payments, and issuing receipts. Coordinate with the billing department to ensure accurate and timely billing procedures.

Medical Records Management:

Maintain organized and up-to-date patient records, both electronic and physical, ensuring confidentiality and compliance with privacy regulations. Retrieve and file medical records as needed.

Communication and Coordination:

Serve as a point of contact between patients, healthcare providers, and other staff members. Relay messages, handle inquiries, and facilitate effective communication within the healthcare facility.

Administrative Support:

Provide general administrative support, including managing office supplies, maintaining cleanliness and tidiness of the reception area, and assisting with other clerical tasks as required.

Problem Resolution:

Handle patient complaints, conflicts, or concerns in a professional and empathetic manner, aiming for satisfactory resolutions. Escalate complex or serious issues to the appropriate personnel.

Compliance and Safety:

Adhere to relevant healthcare regulations, privacy laws, and safety protocols. Stay updated with industry guidelines and best practices to ensure compliance in all front office operations.

Qualifications and Skills:

High school diploma or equivalent qualification; additional certification or training in healthcare administration is a plus.
Proven experience as a front office executive, receptionist, or similar role, preferably in a healthcare setting.
Strong interpersonal and communication skills, with the ability to provide exceptional customer service.
Excellent organizational and multitasking abilities, with a keen attention to detail.
Proficiency in using computer systems, electronic medical records (EMR), and standard office software.
Knowledge of medical terminology, insurance processes, and billing procedures is advantageous.
Ability to handle stressful situations with calmness and professionalism.
Flexibility to work in shifts, including evenings, weekends, and holidays, based on the healthcare facility's operating hours.
