Role : GM - HR and Administrative Officer

Role Definition : "We are looking for an Administrative Officer to join our team and support our daily office procedures.

A successful Administrative Officer will act as the point of contact for all employees, providing administrative support and managing their queries. Main duties include helping the management in running the company on Auto Pilot mode - by defining & implementing all the systems & processes.

Ultimately, you should be able to ensure our administrative activities run smoothly on a daily and long-term basis."

Qualification : Graduate or Post Graduate, preferably MBA in HR

Experience: 10 years experience in similar job position

Requirements : 1) Proven work experience as an Administrative Officer Administrator or similar role

2) Solid knowledge of office procedures

3) Strong organization skills with a problem-solving attitude

4) Excellent written and verbal communication skills

Preferences :1) Experience of working in an Architectural/Engineering firm will be strongly preferred

2) MBA in HR from a good institution

3) Dynamic & Active Personality

Responsibilities : 1) General Admin of the organisation

2) HR - from hiring to exit formalities

3) Supporting the Management in running the company on Auto Pilot mode - by defining, implementing & monitoring all the systems & processes.

4) Support in IT and general maintenance

Salary / Payroll

Staff Welfare (Birthdays etc.)

Resignation Formalities

Induction Programs

Legal Compliance

Attendance/Biometrics

Organising Meetings

Employees' Data Management

b) Admin Manager

General Administration

Secretarial Work - Emails + tickets booking etc.

Sub-staff Management

Stationary

Purchases

Documentation of PO / Completion Certificates

Public Relations

Greetings / Wishes

Cleanliness

Insurance

Making necessary arrangements for Presentations / Meetings / Training Sessions

Monthly Bill Payments

Tracking petty expenses (less than Rs 2000) on weekly basis

Overall Discipline

c) Data Management

Project Numbers Allotment

Documentation of PO / Completion Certificates

Contact Management (Clients / Contractors / Consultants / Staff)

File Auditing (Soft + Hard Copies)

File Arrangement in storage

d) Auto Pilot mode using P.A.C.E Implementation

Studying the PACE Program guide book (available with us) and implementing the same step by step

e) General Support activities

Support in IT and general maintenance

Managing the front desk executive

Support role in accounts - invoice preparation etc

Performance Measurement Metrics : Overall efficiency of organisation shall be guaged on regular basis and the contribution of Administrative Officer shall be anaysed to determine his/her performance
