The Intake Office Coordinator values the importance of providing a red-carpet experience and demonstrates it with every client interaction
Greet clients by standing up every when a client walks in
Collect ID of the client to change name on parties and add address
Answer phone calls
Take client fingerprints
Confirm upcoming appointments and reschedule appointments as needed
Scan/upload fingerprints and authorization forms
Replenish candy and snack bar, Keurig machine, and cooler
Scan client documents
Complete inventory of office supplies
Collect client payments
Make fillable fingerprint form from client bio and download it to documents
Prep intake folders
Prep client case folders for Intake Specialists
Prep Welcome Kits
Hostess role
Ensure clients feel welcome while waiting – direct them to waiting area, offer refreshments
Escort clients to their intake appointment
Scan contracts
Scan documents when front office is behind
FBI submissions for in office fingerprints
Assemble Welcome Kits
Reviewing fingerprint + Signature Authorization Received Queue
Reviewing FBI Submission Queue
Helping with fingerprints when there is a long wait
Follow up with clients for missing bio information
If there is missing biometric information on a welcome kit task, they will call back the client to get the missing information
Mail welcome kits to clients

The Intake Office Coordinator values the importance of providing a red-carpet experience and demonstrates it with every client interaction. They are often the clients' first impression of our firm. We are looking for a customer-focused Intake Office Coordinator to join our team and help us continue to deliver the highest quality service to our clients.
Essential Job Functions & Responsibilities
Front Office Duties:
• Greet clients by standing up every when a client walks in
• Collect ID of the client to change name on parties and add address
• Answer phone calls
• Take client fingerprints
• Confirm upcoming appointments and reschedule appointments as needed

Schedule: M-F 8:30AM-5:00PM
