Position Summary

The Health Information Management Technician is responsible for performing a variety of HIM/medical record functions in the department at Chinese Hospital. Responsibilities include record management, record retrieval, preparing paper records for scanning into the electronic health record system, quality checking scanned documents for accuracy, answering telephone calls, responding to subpoenas and release of information requests, pulling paper records from outside storage for immediate patient care, and filing records in the appropriate areas. Additional duties include monitoring the printer-copier-fax machine, generating needed reports from the computer system, producing radiology/imaging films onto CDs, and performing other duties as assigned by the manager.



Essential Duties and Responsibilities

Generate/retrieve discharge registry computer printout and file it in the binder.
Pick up paper inpatient and outpatient discharge records from various units.
Prepare paper records for scanning into the electronic health record system.
Quality check scanned documents for accuracy.
Process operating room schedules to ensure completion of required documentation.
Ensure accurate interfacing of transcribed reports into the electronic health record system.
Distribute transcribed reports to physicians as needed.
Reconcile interfaced laboratory, radiology, and transcribed reports.
Sort and file ancillary reports in a timely manner.
Manage records retrieval from outside storage.
Maintain a color-coded and alphabetical medical records system.
Respond to release of information requests in a timely manner.
Monitor the printer-copier-fax machine for incoming requests.
Respond to emails in the HIM inbox.
Produce radiology/imaging films onto CDs as requested.
Assist with the completion of medical records.
Answer and direct incoming telephone calls appropriately.
Sort and distribute mail and correspondence.
Generate reports/forms/labels from the computer systems as needed.
Meet quality and productivity standards.
Provide back-up coverage for staff on vacation.
Follow all hospital and department policies and procedures.
Attend and participate in mandatory training and meetings.
Provide excellent customer service to patients, visitors, and co-workers.
Communicate effectively with manager and team.
Perform other duties as assigned.


Qualifications

Required

Two plus years of experience in a medical practice and/or acute care hospital.
Computer proficiency (EMR knowledge a plus).
Effective verbal and written communication skills.
Ability to take initiative and work independently.
Strong time management and prioritization skills.
Knowledge of Medical Terminology.
Basic knowledge of legal requirements concerning medical records (HIPAA).
Fluent in English and Chinese (Cantonese and/or Mandarin).
Preferred

High School Diploma or GED.
