Job Summary:

The Executive Assistant (EA) to the Managing Director (MD) provides high-level administrative support, ensuring efficient operation and coordination of the MD’s activities. The EA manages schedules, communications, and various administrative tasks, acting as a liaison between the MD and internal/external stakeholders. Flexibility to work outside regular business hours when necessary.

Key Responsibilities:
• Administrative Support: Manage and maintain the MD’s calendar, including scheduling meetings, appointments, and travel arrangements.
• Prepare and edit correspondence, reports, presentations, and other documents as needed.
• Handle confidential information with discretion and professionalism.
• Communication Management: Screen and prioritize emails, phone calls, and other communications.
• Draft and proofread communications on behalf of the MD.
• Coordinate communication between the MD and other executives, employees, and external parties.
• Meeting Coordination: Organize and prepare materials for meetings, including agendas, presentations, and minutes.
• Attend meetings, take notes, and ensure follow-up on action items.
• Project Management: Assist in the planning and execution of special projects.
• Track progress and deadlines, ensuring timely completion of tasks.
• Travel Arrangements: Plan and coordinate domestic and international travel itineraries.
• Handle travel-related logistics, including transportation, accommodations, and expense reports.
• Event Planning: Assist in planning and organizing company events, meetings, and conferences.
• Manage event logistics and liaise with vendors and service providers.

Required Skills:
• Exceptional organizational and time-management skills.
• Strong written and verbal communication abilities.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to work independently and as part of a team.
• Strong problem-solving skills and attention to detail.
• High level of discretion and confidentiality.
