The Role
The Executive Assistant to the First Assistant Secretary, Entitlements Safeguards Division, is responsible for providing high-level executive support and office management and is required to work collaboratively with the SES across the Division, the Division Executive Officer and the Workplace Relations Group more broadly.

Duties and Responsibilities
Under limited direction, the APS 5 Executive Assistant undertakes a wide variety of activities related to executive support, including:

Managing the office of the First Assistant Secretary, including the effective management of information flow.
Providing high level secretarial support, including preparation of routine correspondence, screening telephone calls and emails (and directing queries to relevant officers), photocopying/scanning and filing.
Managing diary, travel and meeting preparations including organising venues, catering and preparation of material and minute taking as required.
Assisting with the division's financial management including processing of accounts payable, management of Corporate Credit Card accounts, and quality assurance and approval of travel in Expense8.
Assisting and working with the Executive Officer for the Division to ensure that all tasks, briefings and correspondence are managed appropriately, ensuring deadlines are met.
Maintaining oversight of the division’s incoming correspondence via the Parliamentary Document Management System (PDMS) and assigning to line areas.
Communicating and liaising with staff at all levels within the department as well as internal and external stakeholders.
Guiding and mentoring branch Executive Assistants.
Other duties as specified by the SES.
