Days/Hours of Work: Monday – Friday, 8:15 am – 4:45 pm - Total of 37.5 hours/week with one late shift, 10:30 am – 7:00 pm periodically as per schedule. Days/Hours of work are subject to change

POSITION SUMMARY:
Reporting to the WorkBC Contract Manager, the Administrative Support 1 - Receptionist is the first point of contact for walk-in clients and plays a key role in maintaining a welcoming, professional environment. This position supports the WorkBC team through reception duties, client support, and administrative tasks, including ICM data management and file documentation.

KEY RESPONSIBILITIES:
Greet and direct clients to appropriate services and notify relevant team members.
Provide information and support in-person, virtually, and by phone, observing confidentiality.
Assist clients in registering for BCeID and accessing Online Employment Services.
Support clients in the self-serve resource centre with resumes, cover letters, job search, and financial supports.
Monitor and process ICM Service Requests, case transfers, and referrals.
Set up WorkBC services in ICM and assist with data entry and file closure processes.
Maintain required documentation in hard copy client files and manage off-siting.
Maintain job boards, distribute job leads, and update the employer database.
Attend team meetings, trainings, and provide vacation relief as needed.
Perform general reception and administrative tasks such as photocopying, faxing, and supply tracking.
Perform other related duties as required.
EDUCATION, EXPERIENCE AND REQUIREMENTS:
Minimum 2 years of experience in reception or administration
Minimum 2 years of experience in database use
Experience working or volunteering with vulnerable populations
Completion of recognized post-secondary business and/or administration courses is considered an asset
Knowledge of community resources
SKILLS AND ABILITIES:
Strong customer service skills
Excellent communication skills, both written and verbal
Strong organizational skills and the ability to manage multiple competing priorities.
Excellent interpersonal skills with the ability to build and maintain strong relationships
Conflict resolution skills with a focus on active listening and comprehension
Ability to work independently and as a member of a team
Skilled in the use of MS 365 (Teams, Excel, Word, Outlook, etc.)
Ability to use sound judgment and take initiative
