Job Summary:
We are seeking a highly organized and detail-oriented Administrator to support our Concrete Testing and Bridge Inspection divisions. This role will be responsible for the efficient flow of information, ensuring accurate and timely reporting of technical data, and maintaining our administrative systems. The ideal candidate will be proactive, possess excellent communication skills, and thrive in a fast-paced environment where precision and reliability are paramount.
Key Responsibilities:
Report Management & Distribution:
Concrete Department:
- Organize, format, and prepare all concrete laboratory test reports, ensuring all data is accurate and compliant with industry standards (e.g., CSA, MTO, ASTM, AASHTO).
- Regularly communicate with Clients and colleagues regarding scheduling, reporting and timelines.
_ Bridge Department:_
- Prepare and finalize bridge inspection reports, including incorporating data, photos, and sketches as required.
- Ensure all bridge reports adhere to regulatory guidelines and internal quality standards (e.g., MTO RAQS, OSIM).
- Coordinate the timely distribution of all reports to clients, engineers, and internal teams via appropriate channels (email, online portals, physical copies).
- Maintain a robust and organized digital and physical filing system for all reports and associated documentation.
Administrative & System Organization:
- Organize and maintain the company's overall administrative system, ensuring efficient workflow and easy retrieval of information.
- Manage document control processes, including version control and archiving of critical project files.
- Coordinate and schedule meetings, including preparing agendas and taking minutes.
- Manage and order office supplies, ensuring adequate stock levels.
- Handle incoming calls and correspondence, directing inquiries to the appropriate personnel.
Project Support:
- Obtain necessary locates (e.g., utility locates) for project sites, ensuring compliance with safety regulations and project requirements.
- Assist Project Managers and technical staff with various administrative tasks to support project execution.
- Track project progress, deliverables and deadlines, providing updates as needed.
- Liaise with clients, suppliers, and subcontractors as required.
Qualifications:
- Proven experience in an administrative role, preferably within a construction, engineering, or technical services environment.
- Strong organizational skills with an exceptional attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with document management systems.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks and prioritize effectively in a dynamic environment.
- Strong problem-solving skills and a proactive approach to work.
- Familiarity with concrete inspection and testing and/or bridge inspection terminology and reporting would be an asset.
- Ability to work independently and as part of a team.
Education:
- Post-secondary education in office administration, business, or a related field is preferred.
