Full job description
Executive/Personal Assistant
Full-Time | Calgary, AB | In-Person

Role Overview:

The CEO of Shokunin Hospitality Group is a visionary leader behind some of Canada’s most celebrated culinary concepts. The group includes Shokunin, NUPO, EIGHT, and afterEIGHT — each pushing the boundaries of sustainable cuisine and cultural storytelling through food.

We are seeking a versatile and highly organized Executive/Personal Assistant to support the CEO directly in both day-to-day operations and personal life — while also managing social media content and engagement for the restaurant brands and the CEO’s professional platforms.

Summary:

This is not your average assistant job. You’ll be the right hand to the CEO of Shokunin Hospitality Group — ensuring the day flows smoothly, handling logistics and life admin, and helping tell the story of a fast-growing restaurant group across digital platforms. This full-time position is ideal for someone with sharp organizational instincts, a flexible schedule, and a passion for hospitality, brand-building, and making things happen.

After a 3-month probationary period, full benefits will be provided.

Responsibilities:

Executive & Personal Support

Respond to and organize both the CEO’s and your own email inboxes
Act as the main point of contact between the CEO and team members, clients, collaborators, and vendors
Curate and manage daily, weekly, and monthly schedules, ensuring priorities stay on track
Screen and direct phone calls, manage text communications, and distribute correspondence
Use sound judgment to manage and respond to a wide variety of requests and queries
Create and update daily to-do lists and manage shifting priorities
Schedule and confirm meetings, appointments, and reservations
Coordinate personal and professional travel arrangements, including itineraries and bookings
Take meeting minutes and assist with note-taking and follow-up tasks
Source supplies, tools, or equipment for personal and professional use
Produce reports, presentations, briefs, and project documents
Maintain organized email and digital filing systems
Assist with personal errands and day-to-day life administration
Collaborate closely with the restaurant operations manager
Maintain and track expense reports, invoices, and budget data
Communicate efficiently with a wide range of team members and external contacts (contractors, designers, graphic designers, accountants, etc.)
Conduct research and summarize findings to support decision-making
Thrive in a range of work environments — from home offices to restaurants, to off-site locations
Travel between various business sites across Calgary and the Okotoks area as needed
Social Media Management

Manage social media accounts for Shokunin, NUPO, EIGHT, afterEIGHT, and the CEO’s professional brand
Schedule and publish engaging content that reflects each brand’s unique voice and offerings
Monitor social media channels and respond to DMs, comments, and mentions
Collaborate with internal & external teams to collect images, updates, and stories worth sharing
Track content performance and audience engagement, sharing insights to inform strategy
Education

High School diploma (required)
PA diploma or Post-Secondary Degree (advantage)
Skills & Qualifications

Proven work experience as a Personal and/or Executive Assistant
Knowledge of office management systems and procedures
Google Workspace and English proficiency
Outstanding organizational and time management skills
Familiar with scheduling meetings via Zoom and/or Google Meet
Ability to multitask and prioritize daily workload
Excellent verbal and written communication skills
Discretion and confidentiality
Japanese language (advantage)
Must work well both independently as a self-starter and as part of a large, diverse team
Well-developed time management skills
Must have a car and be able to use it for daily transportation
Must have a valid driver’s license and personal vehicle for errands and off-site tasks
Tech-friendly and resourceful; able to troubleshoot and adapt
