Summary

Responsible for managing details for group and catering bookings, including housing, food & beverage and function room planning with the customer to fulfill the commitments of the sales contract. Will arrange the physical aspects of the conference/event, assist, and often arrange speakers, vendors, and local attractions; while continuous cross-selling other revenue producing entities within the lodge, as well as the entire resort. Individual will train and motivate staff to exceed set goals and strive to provide exceptional service to both internal and external guests at all times; and will be responsible for exemplifying the Oglebay culture as well as promoting Oglebay as both the Destination and Employer of Choice.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Responds and sells to all telephone, email, and walk-in inquiries as available, and assigned

Conducts site visits with guest as needed in planning
Prepares proposals, contracts and Catering Event Orders for all events as required
Plan, sell, up-sell and detail the program with the client including: verification and modification of space and rooms requirements, times, equipment, menus, themes, decorations, special needs, business services, audio visual, etc.
Follows up on all functions details with Banquet Managers, Executive Chef, F&B Director, Director of Catering and Conference Services; in addition to other lodge management or vendors as required
Manage function details and related activities to ensure that program/event requirements are satisfied.
Anticipate and handle customer complaints and/or problems to ensure quality product deliver, customer satisfaction and repeat business
Must be organized, timely, detail oriented
Excellent verbal and written communication skills
Preferred experience with Delphi Conference Services Management System
Proficiency in Microsoft Office Suite
Full-time: Flexibility to work various days, evenings, and weekends based on business needs
Complete appropriate trainings listed on the human resources Training Matrix
Adhere to Wheeling Park Commission’s safety rules and policy; refer any and all safety concerns to department manager, safety committee or human resources
Interact with the public with a cheerful and positive attitude, solve guest problems and complaints in a proper manner, and maintain harmonious working relationships with fellow employees

SUPERVISORY RESPONSIBILITIES

Manages the daily workflow, progress and best practices of Wedding Specialists, Conference Service Managers, and Wedding Coordinator. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

EDUCATION and/or EXPERIENCE

Bachelor's degree (B. A.) from four-year College or university; or two to four years related experience and/or training; or equivalent combination of education and experience
