As we expand our reach and enhance our services, we are in search of a seasoned Fleet Operations Manager & Administrator who specializes in last-mile contract carrier operations. This remote role is pivotal to managing our fleet and ensuring our services remain competitive and compliant, contributing to our goal of excellence in customer satisfaction.
Job Summary:
The Fleet Operations Manager & Administrator will oversee our entire fleet's operations, focusing on last-mile delivery efficiency, vehicle maintenance, driver management, and contract administration. You will ensure optimal operational performance and compliance with all transportation laws and regulations. This role requires a balance of strategic planning, operational oversight, and administrative excellence, making it suitable for a highly organized, proactive, and experienced professional.

At UrbaneLite Co., the Supervisor/Manager plays a pivotal role in ensuring operational excellence across all delivery routes, from first dispatch to final delivery. You will be responsible for not just maintaining—but improving—the systems that power our growing logistics network.
Daily Operations & Route Oversight
Monitor and manage all active delivery routes in real-time to ensure timeliness, compliance, and customer satisfaction
Resolve same-day issues (delays, failed deliveries, damaged product) in coordination with dispatch and client partners
Allocate and adjust driver/helper assignments based on real-time needs, truck availability, and performance metrics
Track GPS, ELD, and route audit logs to confirm delivery integrity and mitigate fraudulent activity
Use dispatch platforms (Motive, SuperDispatch, or similar) to assign and manage load documentation
Team Supervision & Performance Management
Supervise and mentor drivers, helpers, and field teams, ensuring daily expectations are clearly communicated and met
Conduct performance evaluations based on route volume, timeliness, customer satisfaction, and compliance
Issue verbal/written warnings for policy violations, and coordinate offboarding of non-compliant or underperforming workers
Schedule and lead weekly check-ins with teams for updates, motivation, and field feedback
Develop a strong team culture emphasizing accountability, integrity, and safety
Compliance & Audit Readiness
Ensure all driver files (IDs, DOT medical cards, background checks, etc.) are up-to-date and uploaded to cloud storage
Monitor contract-specific compliance (e.g., FMCSA, RXO, Ryder, CRST, Lowe’s, etc.)
Prepare documentation for internal and client-side audits, ensuring we pass 100% of reviews
Proactively track upcoming expirations and onboarding gaps to maintain compliance continuity
Payroll, Cost Tracking & Incentives
Track daily container counts, route completions, and incentives for driver pay calculation
Apply performance-based pay rules (e.g., bonuses for 4+ routes, rate drops for under-delivery)
Submit weekly route logs, deductions, and bonus tracking to the finance/payroll team
Forecast staffing cost per contract based on weekly volume and bonus structure
Equipment, Inventory & Fleet Coordination
Coordinate availability of essential gear: tablets, uniforms, badges, straps, dollies, safety vests
Report vehicle issues to the fleet maintenance team and follow up on downtime
Manage trailer/chassis assignments and track container swaps at the port (if applicable)
Ensure all teams are equipped with route sheets, BOLs, and client-mandated paperwork
Client Relations & Contract Expectations
Serve as the primary point of contact between UrbaneLite field teams and client dispatch teams (RXO, Home Depot, Ryder, Maersk, Riverstone, etc.)
Ensure teams meet KPIs (e.g., delivery volume, on-time rate, damage claims) for each client contract
Attend virtual or in-person meetings with client representatives as needed to discuss performance, improvements, or issue resolution
Respond to escalated customer complaints or claims with documentation and corrective plans
Reporting & Internal Systems
Maintain and update operational trackers for staffing, route coverage, payroll, and compliance
Submit weekly summaries to executive team outlining performance trends, coverage issues, and route profitability
Contribute to system development (e.g., SOPs, onboarding templates, dispatch scripts) to streamline operations
Support software implementation and automation strategies across departments (dispatch, onboarding, compliance, payroll)

Job Types: Full-time, Part-time
Pay: $60,000.00 - $95,000.00 per year
