Job Summary
We are looking for a dynamic and detail-oriented AI Hackathon Event Coordinator to plan, execute, and manage AI Hackathons, Tech, and Digital Marketing competitions. The ideal candidate needs to have experience in event management, marketing, sponsorship acquisition, and digital engagement. This role requires innovation, independence, and the ability to work swiftly while ensuring flawless execution.
Key Responsibilities:
Event Planning & Execution:
• Develop and execute a roadmap for multiple competitions, including AI Hackathons, Tech, and Digital Marketing challenges.
• Collaborate with internal software development teams to create a website/landing page for event sign-ups and information.
• Drive participant engagement, aiming for a minimum of 1000+ participants per event.
• Plan a series of events in tandem to build momentum and attract continuous engagement.
• Organize virtual and in-person events, handling logistics, venue selection, and negotiation.
• Travel as needed for in-person events, venue selection, and sponsor meetings.
• Suggest customized swag kits for attendees.
Sponsorship & Partnerships:
• Identify and approach potential sponsors, including AI tool providers, tech companies, digital marketing firms, and educational institutions.
• Model an effective prize system and sponsor tiering system to attract funding and interest.
• Secure sponsorship funding and establish strong relationships with sponsors and vendors for future collaborations.
• Marketing & Outreach:
• Plan and execute a BIG promotional campaign with a minimum budget to maximize reach.
• Collaborate with internal marketing team to design flyers, event branding materials, and promotional content using Canva or other graphic design tools.
• Create and maintain a participant database and establish ongoing newsletters/communication channels.
• Execute digital marketing strategies to ensure international visibility and long-term growth.
Technology & Monitoring:
• Provide solution to implement monitoring software to ensure fair participation and prevent pre-existing code usage.
• Ensure smooth event execution by integrating AI tools, live tracking, and digital event solutions.
Participant & Stakeholder Management:
• Handle participant queries and communication throughout the event lifecycle.
• Organize Q&A sessions, orientation meetings, and provide necessary guidance.
• Work with judges and mentors to define evaluation criteria and event structure.
Requirements:
• Proven experience in event management, preferably in the tech, startup, or digital marketing space.
• Strong organizational and multitasking skills with the ability to work independently and swiftly.
• Excellent communication, negotiation, and relationship-building abilities.
• Experience in sponsorship acquisition, partner management, and event execution.
• Proficiency in Canva or similar tools for flyer and promotional content creation added as an advantage.
• Ability to manage both virtual and in-person events, including travel for venue selection.
• Familiarity with AI tools, digital marketing strategies, and the developer ecosystem is a plus.
• Hardworking and results-driven, with a focus on perfect execution.
