Job Description
Job Summary Purpose:
We are looking for an Event Production Manager involved in ensuring the smooth and successful execution of virtual events. As an Event Production Manager is expected to have at least two years of relevant experience and should be able to perform various tasks such as joining the live studio and video bridge, coordinating dial-out with operator-assisted phone bridge, testing the quality of audio/video endpoint(s), reviewing call flow, addressing customer questions, monitoring technical issues during the event, assisting with cue switching, troubleshooting outages, and ending the webcast at the conclusion of the show.
Responsi bilities on a re gular day:
- Join live studio, video bridge and (if applicable) comm lines
- Make introductory engagement with customer and AV
- If required, coordinate dial out with operator assisted phone bridge
- Once a video connection is made by any presenter site, establish primary and secondary (backup) webcast streams and quality check for transcode errors
- In the event of an error, escalate to a streaming media engineer and/or system engineering
- Facilitate pre-conference3
- Test quality of audio/video endpoint(s)
- Review of live studio controls
- Review of call flow
- Review of preferred start up procedure
- Address any outstanding customer questions
Live Event Action Items:
- Facilitate transition from standby to on air
- Check audience feed to ensure that streams have properly gone on air and that there are no anomalies from what was observed on stream during pre-conference
- Monitor and answer technical questions from the audience
- Monitor presenter chat
- Monitor audience capacity
- Assist with cue switching where applicable
- Speaker layout transitions (if non-voice activated)
- Player layout transitions
- Video overlay launch
- Poll launch
- Assist with troubleshooting in the event of an outage
- Switch to backup (if backup is available)
- Escalating to streaming media engineer and/or system engineering as needed
- Coordinating in player messaging in the event of a prolonged outage
Event Wrap Action Items:
- Ending the webcast at the conclusion of show
- If the end time does not match anticipated/discussed end of show parameters or the ending cue is unclear, the EP confirms via chat before ending webcast to ensure no key audio is cut off
- Conduct post-event editing or player closure as needed.
Qualifications:
- Bachelor's degree in event management, Marketing, or a related field.
- Excellent command over English language.
- 1+ years of experience in event planning and production, with proven success in managing large-scale events.
- Strong leadership skills and the ability to manage and motivate a team.
- Excellent communication, interpersonal, and collaboration skills.
- Ability to prioritize tasks, manage multiple projects simultaneously, and work under pressure to meet deadlines.
- Proficiency with Microsoft Office, project management software, and other relevant tools.
