Introducing an exciting opportunity to join the team as an Assistant Team Secretary.
We are looking for an Assistant Team Secretary to provide administrative and secretarial support for staff within the Building Surveying, Employer’s Agent and Quantity Surveying teams. This includes formatting reports, producing letters and providing Ad-Hoc support as required.
Based in Sidcup but may be required to go to the Blackfriars office at times.
Key Responsibilities
Preparation and Production of the following: Minutes, Specifications, Reports, Fee-Bids, Letters, Trackers etc. Printing and binding of Contract Documentation. All documents to be issued in accordance with Frankham’s QA BIM standards.
Meetings/Calendars: Diary management of team meetings and appraisals. Assistant Team Secretary to ensure these are being carried out and are re-scheduled when necessary.
Document Control: To ensure all documents are referenced correctly in line with current BIM standards and formatted uniformly to ensure consistency throughout all published documentation. Issuing documents using the Issue Register and Published Information folder.
Case Studies: Chasing the team for Case Studies on a regular basis, updating trackers and issuing to marketing department for completion.
Requirements
At least 1-2 years’ previous experience in a similar administrative or secretarial role.
A basic knowledge and understanding of the construction industry.
Excellent communication and interpersonal skills (written, telephone, or face to face) are an essential requirement of the role.
Good general education with a high standard in English and Mathematics.
Advanced PC skills including Microsoft Word, Excel, and Power Point. Familiar with modern office technology including knowledge of using email, word processing, and the production of spreadsheets and databases.
