JOB SUMMARY
Our receptionists are responsible for providing the highest level of service and satisfaction to our referring veterinarians, clients and patients. Client Services is the central contact at Trout Lake Animal Hospital and has a responsibility to ensure we represent the hospital in a professional manner. As the first face of the hospital, it is key to meet and greet our clients with a positive outlook, a friendly smile and make them feel comfortable.
NOTE: Previous veterinary experience in a veterinary setting is as ASSET.
DUTIES AND RESPONSIBILITIES:
Greet and offer assistance to clients.
Answer telephone inquiries and direct calls appropriately.
Ensure work area is kept clean and tidy at all times.
Patient intake, booking appointments, surgeries, and drop-offs.
Assisting with animal restraint for examination, x-rays and blood/urine collection.
Processing lab samples and submitting requisitions to laboratories
Handling and dispensing medication under veterinarian instructions
Cleaning and sterilizing equipment and cleaning exam rooms and cages
Processing/creating estimates and invoices on Ezyvet
Sharing knowledge of nutrition, prescription diets, retail items, and general animal well-being.
Financial duties include processing payments, submitting insurance claims and sales.
Clean and autoclave surgical instruments
Complete other administrative / reception duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES:
Strong problem-solving abilities.
Proven ability to adapt quickly respond to and resolve atypical and emergency situations.
Excellent verbal and written communication skills.
Passionate about customer service with a positive attitude.
Models the highest level of professionalism and confidentiality.
Exceptional organizational skills and show ability to multi-task and establish priorities.
Ability to reflect compassion and empathy for clients in stressful situations.
Ability to stay calm under pressure.
Takes initiative and works with little supervision.
Experience with Veterinary software programs an asset.
Must be proficient with common computer applications particularly MS Word, Excel, Outlook.
QUALIFICATIONS AND EXPERIENCE:
Previous experience in a veterinary setting is Mandatory.
Graduate of an accredited program for Veterinary receptionists is preferred.
SCHEDULING DEMANDS:
Start times range from 8:00 a.m. to 9:30 a.m. and Reception closes at 9:00 p.m. (Open 7 days a week)
