Full job description
We are seeking a friendly, organised, and professional receptionist to join our GP clinic team. The receptionist serves as the first point of contact for patients and plays a crucial role in ensuring the smooth operation of the clinic. The ideal candidate will deliver exceptional customer service, manage administrative tasks efficiently, and support the clinic staff in providing quality healthcare services.

We provide services to a culturally and linguistically diverse population. A candidate that is able to speak Mandarin is preferred.

This posting is for a casual role. There are opportunities in the future for this to be come a permanent part-time position.

Key Responsibilities

Front Desk Operations:
Greet patients and visitors warmly upon arrival.
Manage incoming calls, answer inquiries, and direct calls to the appropriate staff members.
Schedule and confirm patient appointments using the clinic’s booking system.
Patient Management:
Register new patients and update existing patient information.
Process patient intake forms and ensure accurate data entry.
Assist patients with billing, payments, and Medicare or private health insurance claims.
Administrative Support:
Maintain a clean and organised reception area.
Handle incoming and outgoing mail and correspondence.
Support the clinic team with general administrative tasks as needed.
Coordination:
Liaise with doctors, nurses, and other healthcare professionals to ensure efficient clinic operations.
Monitor and manage appointment schedules to minimize wait times.
Compliance and Confidentiality:
Adhere to all clinic policies, procedures, and confidentiality guidelines.
Ensure compliance with healthcare regulations, including patient privacy and confidentiality (e.g., adhering to HIPAA/GDPR standards where applicable).
Skills and Qualifications

Essential:
Previous experience in a customer service or receptionist role, preferably in a healthcare setting.
Strong communication and interpersonal skills.
Proficiency in using computer software and Microsoft Office.
Ability to multitask and prioritise in a busy environment.
Attention to detail and a high level of accuracy.
Desirable:
Familiarity with Medicare, private health insurance, and medical billing procedures.
Knowledge of medical terminology.
Experience working in a general practice or similar healthcare environment.
Experience with using medical practice management software.
