Job Description

Job Overview
Speegle, Hoffman, Holman & Holifield, LLC, a law firm located in downtown Mobile, has an immediate opening for a full-time assistant with a focus on estates and probate. Previous experience in administrative/office work required; previous legal experience is preferred. Applicant must be proficient with Microsoft Word, Excel, and Outlook. Competitive salary depending on experience. Benefits include health and dental insurance, employer-matched retirement account, paid and covered parking, and paid time off. Responsibilities

Manage and maintain attorney’s calendar, including scheduling appointments, court dates, and meetings using Microsoft Outlook Calendar and Google Workspace.
Handle phone inquiries with professional phone etiquette, directing calls appropriately and taking detailed messages.
Perform data entry and filing of legal documents, client records, and case files ensuring confidentiality and organization.
Provide executive administrative support including document management, project coordination, and office management duties.
Conduct general clerical tasks such as photocopying, scanning, organizing files, and maintaining office supplies inventory.
Coordinate with clients and vendors to facilitate smooth communication and project flow.
Requirements

Proven administrative experience in a professional office setting; experience supporting legal or probate professionals is a plus.
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
Excellent typing skills along with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
Familiarity with legal document preparation, proofreading, transcription, and filing procedures.
Exceptional phone etiquette skills combined with excellent customer service abilities.
Ability to manage calendars effectively using Microsoft Outlook Calendar or similar tools.
Knowledge of office management practices including data entry, clerical work, and front desk operations.
Pay: $14.00 - $20.00 per hour
